Sending Shift Notes or Shift Reports

Use

You can send shift notes and shift reports within the ERP system. In the process, the system sends the shift note in the form of a link.

However, you can also send shift notes and shift reports as e-mails to external Internet addresses.

Prerequisites

  • You have set the Display Send E-Mail indicator in the IMG activity Make Settings for Shift Note Type . With this indicator, you specify that the system is to show the Send E-Mail function key in the processing transactions for the shift note.

  • You have set the Display Send E-Mail Function Key indicator in the IMG activity Make Settings for Shift Note Type .

  • If you want to send the e-mails to external addresses, the following prerequisites must be satisfied:

    • The system must be set up as described in SAP Note 530932.

  • In the case of an e-mail to an external address, the attachment always contains the link to the shift note or shift report. If this link is not to appear just as a text but also to be clickable, the following steps are necessary to convert the mail type to HTML:

    1. Invoke the transaction SCOT.

    2. Open the INT node and double-click on the node SMTP.

      The system then shows a dialog box with the general data for the node SMTP.

    3. Choose the Set pushbutton next to the Internet checkbox.

      The Address Type for Node dialog box appears.

    4. Choose the value HTM in the Business Object/Link field.

    5. Choose Continue.

Features

  • The function key Send E-Mail enables you to send one or more shift notes within the ERP system. The function key is offered directly on the detail screen for the shift note as well as in the result list for shift notes. The recipient can display the document in the ERP system by choosing Start of the navigation path Office Next navigation step Work Center Next navigation step Inbox End of the navigation path from the SAP Easy Access Menu.

  • However, you can also send shift notes and shift reports as e-mails to external Internet addresses. This e-mail contains a link (URL), via which you can access the SAP system and display the shift note or shift report using the relevant transaction.
