Monitoring and Managing the Tasks

Prerequisites

To view attachments associated with the task instance, you must have the SAP_Bpm_Display_Attachments_Notes and SAP_BPM_CTX_SUPER_ADMIN action assigned to your roles.

You must have at least one of the following roles assigned to you, based on the activities you want to perform as listed in the table below.

SAP_BPM_Navigation	You can see the Manage Tasks application in the SAP NetWeaver Administrator. You can perform the following activities only for task instances to which you are assigned as business administrator. For more information about the business administrator role, see Types of Administrator Roles . Note A business administrator of a process is not automatically business administrator of the human activities and tasks that are included in the process. This could lead to the situation that the business administrator can manage the process instance but not the associated task instances. Therefore, we recommend to assign the same business administrators to the active pool (process) and the human activities and tasks in the process. You use this procedure to perform the following:

View the details of task instances. You can view the corresponding process for each task instance
View all task instances, task instances with an error state or with lapsed deadlines
Search for task instances using the advanced search options
Analyze the task instance details and take an appropriate action, for example, suspend, resume, or cancel a task instance
Nominate a processor for task instances
Resend an offline task, if required
Download the task instances into an Excel file

To view the details of a task instance, select the required entry from the list of task instances.

The system displays the details of the selected task instance in different tab pages as described in the table below:

Tab Page	Displays
Details	Details of the selected task instance such as task instance ID, priority, processor, and so on. It also provides information whether a task instance is archived or not.
Deadline	Details of the deadlines defined and the status.
Owners	Users responsible for processing the task. Note You can nominate a user as a task processor for task instances. If another user already exists as a task processor, this existing user remains as a responsible user, while the newly nominated user becomes the processor. To nominate a user (who is not added as an excluded owner at model time only), proceed as follows: Select the required task instances and choose Nominate . In the Owner field, enter the user you want to nominate. Choose Save .
History	Details of the actions performed on the task instance during its lifecycle.
Context Data	Input and output context data related to the task instance.
Attachments	Displays attachments associated with the selected task instance. Note To view attachments, the processes should be either active or else if archived then should be on a local JEE server.
Notes	Displays notes associated with the selected task instance.

To perform an action on a task, select the required task and perform the following as required:
- To cancel a task, choose Actions Cancel.

  If you want to cancel a suspended task, you must first resume the task and then cancel it.
- To suspend a task, choose Actions Suspend.
- To resume a suspended task, choose Actions Resume.

  You cannot resume a task before its associated suspended process has been resumed.
- To view the process instance to which the task belongs, choose Show Process .
- To resend an offline task to involved user, choose Resend Form .
To download the task instances listed in the current view for data analysis purposes, choose Export to Spreadsheet .
