Searching

Use

You can search the DMS system to find documents of interest. The search is executed on all available attributes of documents and files, and any documents that match the search criteria are displayed in a Search Results tab.

There are two types of searches. These types are search and query, and both are available from the DMS toolbar.

Simple Search

The Search function searches for documents by a single keyword criteria. In Simple Search, the search criteria isn’t applied on all available attributes of the document but is restricted to only two attributes: Description and Type. When the search is complete, a tab containing the search results displays in the panel.

Simple search doesn’t support paging for results. It produces a simple list of a maximum size defined in the preferences.

Query

Query is a comprehensive search request built by user by multiple search terms and attributes. You can either build a new query or execute a saved one from the toolbar. In this type of search, the search criteria is applied on all the available attributes of the documents.

Searching Rules

The basic rules for searching are:

  • Searches aren’t case-sensitive, so you can type your search in uppercase or lowercase characters

  • You can search for any combination of letters (a through z) and numbers (0 through 9)

  • Punctuation marks such as the period, colon, semicolon, comma, and hyphen are ignored during a search

  • Group the elements of your search using spaces to set apart each element. These spaces are treated as an AND Boolean expression

  • The asterisk wildcard (*) is used at the beginning and within a set of characters. It’s automatically added to the end of each word in a search. If it’s added to the end of a word, the wildcard character is ignored

  • You can’t search for quotation marks

  • Words in the noise word list aren’t included in your search. These words include commonly used pronouns, adjectives, and verbs. For example “if”, “my”, and “the”.
