Create Activities in Bulk Processing (Report RPAPRT07)

Use

You can use this report to create planned or completed applicant activities for several applicants at the same time, from the output list. You can create the same activities or different activities for the selected applicants.

The report generates an output list displaying applicants and their applications. You can create applicant activities directly from the list. You can choose from the following activity types to create activities:

  • Individual activities

If you want to create different activities for a selection of applicants, choose Planned indiv. activities or Completed indiv. activities in the output list.

  • Mass activities

If you want to create the same activity for a selection of applicants, choose Planned mass activities or Completed mass activities in the output list.

Selection

The Period and Selection areas contain the standard Recruitment selection fields .

In the Reference section you specify whether you want applicants who have been assigned reference personnel numbers to be taken into account, and if so, which ones.

Note Note

If you define a reference personnel number, the output list displays only the applicants who have been assigned a reference personnel number.

Output

The output is an interactive list in the format that is usual for the SAP List Viewer (ALV) Grid Control.

Activities

The output list contains interactive functions that you can use to process and pass on the list. For details on the procedure, see the Introduction to the SAP System documentation, by choosing Start of the navigation path The SAP Window Next navigation step SAP List Viewer (ALV) Grid Control End of the navigation path .

Create planned or completed individual activities

  1. Select the applicants for whom you want to create the same or different activities and choose Planned indiv. activities or Completed indiv. activities.

  2. The Planned Activity: Create or Completed Activity: Create window is displayed for the first applicant you have selected.

  3. In the Activity type field, enter the key for the activity type, and, in the Perform field, the desired performance deadline.

  4. Make any other necessary entries:

  5. If the activity can be linked to a standard text,

    enter the standard text in the Standard text field.

    If you want to specify a person responsible when you create the activity,

    enter the person’s name in the Responsible field.

    If you want to specify a room for an appointment,

    enter the details in the Room/bldg no. field.

    If you want to flag the applicant activities as recurring tasks,

    select the Recurring tasks field.

    If you want to send an electronic mail to persons responsible or administrators,

    select Send mail.

    When you create completed activities, you cannot select the Recurring tasks field.

  6. Choose .

  7. The Planned Activity: Create or Completed Activity: Create dialog box appears.

  8. The values you entered in the last dialog box are transferred to this dialog box as default values.

  9. Confirm or overwrite the values, and choose .

  10. Repeat steps 5 and 6 until you have created an activity for all the applicants you selected.

The output screen of the report reappears.

You have created applicant activities.

Create planned or completed mass activities

  1. Select the applicants for whom you want to create the same activities and choose Planned mass activities or Completed mass activities.

The Planned Activity: Create or Completed Activity: Create dialog box appears.

  1. In the Activity type field, enter the key for the activity type, and, in the Perform field, the desired performance deadline.

    When you create completed activities, you cannot select the Recurring tasks field.

The same activity is created for all the applicants you selected.

The output screen of the report reappears.

Example

You want to invite all applicants who responded to one particular job advertisement to a test. You enter the job advertisement number in the Advertisement field in the report selection screen, and run the report. The selected applications are displayed in the output list. You select all applications, and choose Planned mass activities. In the dialog box that appears, you enter the activity type Test Invitation , the date you want the activity to be performed, and a standard text. You make any other necessary entries, and confirm the data. The system creates the planned activity Test invitation for all selected applicants.
