Submitting a Request

You create a model request when you want model recommendations for one or more equipment.

Procedure

  1. Open the Requests application.
  2. To create a request, choose New.
  3. To define a request, provide the following details in the New Request window:
    • Enter a description

    • Choose a <Request Type>

      You can create a model request or equipment request.

    • Choose a <Priority>

    • Choose a <Due Date>

    • Select a provider

    • Enter any Additional Information, if any.
    • Choose OK.

  4. To add appropriate stakeholders, choose Edit. Select a provider who can provide best suited models for the equipment in the Involved Stakeholders.
  5. In the Required Sections, you can add the information about which equipment/model sections or subsections (such as data sheets, documentation, failure modes, instructions, or spare parts) must be considered by the receiving organization (such as the asset manufacturer), which is in charge of providing the corresponding equipment/model.
    • In case of equipment request, you can specify the following details:
      • Equipment Information: You can select equipment information like batch number, tag number, UID, and so on.

      • Document Category: Specify the document category like firmware, repair, operation, and so on.
      • Document Language: Select the languages form the list
      • Instructions: Select the instruction types like breakdown, installation, and so on.
      • Data Sheet
      • Failure Modes
      • Indicators
      • Spare Parts
      • Structure
      • Visual Parts
    • In case of model request, you can specify the following details:
      • Model Information: You can select equipment information like model release date,safety risk, generation, and so on.

      • Model Life Cycle Information: You can select the current and ssuccessor modelinformation.
      • Document Category: Specify the document category like firmware, repair, operation, and so on.
      • Document Language: Select the languages form the list
      • Instructions: Select the instruction types like breakdown, installation, and so on.

      • Failure Modes
      • Indicators
      • Spare Parts
      • Structure
      • Visual Parts
  6. To add additional information to the request, provide the necessary description of the request in the Additional Information text box.
  7. To add one or more pieces of equipment, choose Equipment and perform the following tasks:
    • Choose Add.

    • In case of an equipment request, you can enter the model ID,serial number, technical ID number, operator equipment ID, purchase order / procurement number, UID and so on. You can also specify the templates which need to be assigned for a recommended equipment and assign service providers for the equipment.

    • In case of a model request, select one or more items of equipment. You can specify the templates, which need to be assigned for a recommended model. Choose OK.

  8. To add, or assign, or edit an existing document, choose the Start of the navigation pathDocumentation Next navigation step DocumentsEnd of the navigation path tab, and perform the following tasks:

    In the Documents section, choose Add menu to upload a new document, and perform the following steps.

    1. Choose Start of the navigation pathAdd Next navigation step Add ImageEnd of the navigation path to add an image
      1. In the Add Image pop-up, browse for a file.

      2. In the Additional Information section:
        • Assign a Main Category to classify the document.

          You can also assign additional categories in the More Categories field. You can also assign a Phase, if necessary.
        • Select the type of sensitive data available in the document from the Data Sensitivity list.
        • Select the language from the dropdown that corresponds to the documents.

        • Enter a description. You can also enter a long description, if necessary.

        • Select the confidentiality of the document if it’s not shared with everyone.
      3. Choose Upload.

        You can use Check and Upload to check if there are any duplicates that exist in the system. If duplicate files exist, you will then view the files in the Similar Files Detected dialog box. You then can Continue Uploading the New File or you can select a file from the duplicate file list and Use Selected File option to upload it.

    2. Choose Start of the navigation pathAdd Next navigation step Add DocumentEnd of the navigation path to add a document.
      1. In the Add Document popup browse for a file.

      2. In the Additional Information section:
        • Assign a Main Category to classify the document.

          You can also assign additional categories in the More Categories field. You can also assign a Phase, if necessary.
        • Select the type of sensitive data available in the document from the Data Sensitivity list.
        • Select the language from the dropdown that corresponds to the documents.

        • Enter a description. You can also enter a long description, if necessary.

        • Select the confidentiality of the document if it’s not shared with everyone.
      3. Choose Upload.

        You can use Check and Upload to check if there are any duplicates that exist in the system. If duplicate files exist, you will then view the files in the Similar Files Detected dialog box. You then can Continue Uploading the New File or you can select a file from the duplicate file list and Use Selected File option to upload it.

    3. Choose Start of the navigation pathAdd Next navigation step Add LinkEnd of the navigation path to add a document link.
      1. In the Add Link popup, provide a URL link to the document along with a Display Name.
      2. In the Additional Information section:
        • Assign a Main Category to classify the document.

          You can also assign additional categories in the More Categories field. You can also assign a Phase, if necessary.
        • Select the type of sensitive data available in the document from the Data Sensitivity list.
        • Select the language from the dropdown that corresponds to the documents.

        • Enter a description. You can also enter a long description, if necessary.

        • Select the confidentiality of the document if it’s not shared with everyone.
      3. Choose Upload.

        You can use Check and Upload to check if there are any duplicates that exist in the system. If duplicate files exist, you will then view the files in the Similar Files Detected dialog box. You then can Continue Uploading the New File or you can select a file from the duplicate file list and Use Selected File option to upload it.

    As a requestor when you submit a request, you can add documents under Requester's Documents. As a processor when editing the request, you can add documents under Provider's Documents.

    You can also use Remove and Download to remove or download any of the documents assigned to the model.

  9. In the Documents section, from the Add menu choose Assign to upload an existing document and perform the following steps:
    1. In the Select Documents dialog box, search for an appropriate file.
    2. From the Documents search results list, select a document.
    3. Choose Assign.

    As a requestor when you submit a request, you can add documents under Requester's Documents. As a processor when editing the request, you can add documents under Provider's Documents.

    You can also use Remove and Download to remove or download any of the documents assigned to the model.

  10. You can also post your comments for the request in the Comments text box.
  11. Choose Save
  12. Choose Start of the navigation pathManage Next navigation step SubmitEnd of the navigation path, to submit the request to the provider.

Results

You can view all the details of the request. You can view the changes made on the request in the Timeline section.

You can delete the request by choosing Start of the navigation pathManage Next navigation step Delete RequestEnd of the navigation path.

In case of requests in Author Action state, you can edit the details or add more information and resubmit the request using Start of the navigation pathManage Next navigation step Re-SubmitEnd of the navigation path.
