Posting and Clearing
Posting and clearing is always processed in the SAP system in the same way. Following the Import of the Electronic Bank Statement, the SAP system searches for the information required for automatic processing.
A payment is made to the bank account.
The posting transaction is started. In SAP Customizing of Bank Accounting
, you have made the necessary settings for the posting transaction in connection with the electronic bank statement. The following example describes how the system proceeds when searching for information for posting and clearing.
Note
For more information on configuring the electronic bank statement, refer to the SAP Solution Manager documentation.
The system assigns the payment to an open item in accordance with your settings, and clears it.
If the identification of the information in the electronic bank statement was successful, the posting is made in the SAP system. In most cases, everything is posted correctly. However, in some cases manual Postprocessing is necessary.
The following example should clarify the process.
A customer pays an open invoice by transferring the money for it to your bank account. You have configured the electronic bank statement in Customizing in such a way that this transaction triggers the following two-level posting transaction in your system:
The cash receipt is posted to a clearing account such as a cash receipt account (bank accounting).
The system locates the customer and clears the item (subledger accounting). To do so, it requires the following information from the electronic bank statement:
Business transaction (bank transfer credit, for example)
Posting rule that determines how that business transaction is posted in the system (account determination)
Clearing information (such as document numbers) so that the customer open items can be cleared.
The system runs through the following steps from the import transaction to posting:
The system identifies the business transaction and then finds the related accounts with the posting rule. It uses the following search sequence to do this:
The Transaction Type is found using the bank key and bank account in the Customizing table.
Using the External Transaction or business transaction code for the bank, the Posting Rule is found in the Customizing table.
From the posting rule key, it determines the posting specifications and the account determination rules that you have defined in Customizing.
The system then clears the open items of the customer. The system finds the necessary information for the clearing transaction in the note to payee lines in the electronic bank statement. Using the document number or the reference document number, the system can find and clear the document.
The document number or the reference document number are found for the note to payee information using Interpretation Algorithms. Even if the document number was not included in the statement, there are several ways to clear the document (see Interpretation of the Note to Payee Fields).
