Interpretation of the Note to Payee Fields
Various pieces of information are contained in the note to payee fields of the electronic bank statement that are relevant for clearing open items.
The following information can, for example, be delivered in the electronic bank statement for each line item:
Document number
Reference document number
Check number
The Interpretation Algorithm allows you to find your own incoming or outgoing payments in the bank statement, based on information supplied by your customers or your house bank that is found in the note to payee lines of the bank statement.
Note
The information in the bank statement returned in the note to payee lines must already be 'known' to your system. If this is not the case, no automatic comparison can take place, meaning a document can only be found in the system if it has been returned by your customer or bank in the bank statement in exactly the same form and with exactly the same number of characters as it is managed in the system.
Example
If a reference document number is stored with leading zeros in the document, for example, it can only be found in the system if is is delivered using the bank statement also with leading zeros. Otherwise the reference document number with, for instance, interpretation algorithm 026 can be recognized and interpreted as such by the system.
The interpretation algorithm determines how the information in the note to payee fields is to be interpreted by the system. The algorithms can recognize and process different types of information (for example, the document number) for each payment.
Note to Payee Info |
Interpretation Algorithm |
Interpretation |
1001101 |
011 |
"1001101” is interpreted as the check number and not as a document number; the algorithm uses the check number to find the document number in the system |
1001101 |
012 |
“1001101” is interpreted as the check number and the document number being the same; in this case, the check number corresponds to the document number in the system |
For all line items, the system first uses the accounting transaction code or the external transaction to check whether and with what interpretation algorithms it should try to obtain clearing information.
