Firmly Booking Courses

The following applies to time-dependent courses .

Use

Once you have decided that a course is to take place definitely, you can firmly book it. The function firmly book automatically triggers other activities: participants receive definite confirmation of registration, candidates with waiting-list bookings are either rebooked for other courses, converted into prebookings for the course type, or remain on the waiting list.

You must use the firmly book function if you want to carry out follow-up processing for a course.

Prerequisites

  • The course must be in firmly booked status.

  • There are participants already booked for the course.

Features

  • Courses and their infotype records in planned status are converted to firmly booked status.

Caution Caution

You can firmly book a course once only.

  • If the capacity of the course has not been reached, participants on the waiting list are automatically moved up to the attendee list until optimum or maximum capacity is reached.

  • You can edit the attendee list ( swap participants ):

If there is a waiting list of unplaced candidates for the course, you can swap participants on the attendee list with waiting-list participants. (Bookings with essential priority cannot be swapped.) You swap bookings by selecting the participants concerned on both lists and choosing Swap selected.

  • A rebooking proposal is generated for any bookings that are still on the waiting list when the course is firmly booked. You can accept or reject the rebooking proposal per participant.

  • The remaining unplaced candidates can be converted into prebookings or left on the waiting list.

When you firmly book a course, you can also specify what the system response should be in a specific case, thus overriding the Customizing settings. You do so by choosing Start of the navigation path Settings Next navigation step Procedure Waiting List. End of the navigation path This does not change the standard settings in Customizing.
