Creation of a Purchase Order
Use
You can use a requirement notification to create a purchase order in the procurement system (SAP Supplier Relationship Management - SAP SRM) from both a lease quotation and a lease contract.
You must set a system status to individually flag the object items to be ordered.
You can trigger the requirement notification and create a purchase order in two ways:
Creating a purchase order manually
Creating a purchase order automatically
Prerequisites
Creating a purchase order manually
Initial status Purchase Order Allowed : Before you can order an object, the initial status Purchase Order Allowed must be active at item level. The system automatically sets the status based on the status control of the status object type and the configured item category. You can make the necessary settings in Customizing for the item category, by choosing Maintain Object Types : SAP Implementation Guide → Customer Relationship Management → Transactions → Basic Settings → Define Item Categories SAP Implementation Guide → Customer Relationship Management → Transactions → Basic Settings → Define Item Category Determination
Item category OBJA: The standard setting for transactions in leasing uses the item category OBJN for the object item. For object items that can be ordered, you must use item category OBJA or configure the item category used in your application in Customizing in such a way that the initial status Purchase Order Allowed is active. SAP has created the status object types LQB and LCB for this purpose.
Vendor: The vendor (business partner) used in the object item of the transaction exists in the connected ERP system and was loaded from there to the procurement system (SAP SRM).
If the vendor does not exist in the procurement system, you cannot create the requirement coverage request in the procurement system.
Creating a purchase order automatically
To create purchase orders automatically, you must make the following settings:
In Customizing Event Handler (transaction CRMV_EVENT), you have scheduled the following function modules:
CRM_LEASING_ITEM_MAINT_NEW_EC
CRM_LAM_PRR_SET_STATUS_EC
In Customizing for SAP CRM, you have set OBJA ( Phys . Object Item Orderable ) as the item category in item category determination:
Customer Relationship Management → Transactions → Basic Settings → Define Item Categories
Customer Relationship Management → Transactions → Basic Settings → Define Item Category Determination
In Customizing for the item category of the financing item, you use the status object type CQF or LQF.
Customer Relationship Management → Transactions → Basic Settings → Define Item Categories → Definition of Item Categories: OBJA → Detail View field : Status Object Type
When you save the document and release a financing item, the system automatically sets the Request Requirement status for the object items that are assigned to the released financing item.
Otherwise, the same prerequisites apply as for Creating a purchase order manually .
Activities
Creating a purchase order manually
At item level in the object item, set the status Request Purchase Order .
The system sends the data of the objects to be ordered from the financing document to the procurement system (SAP SRM) via an XML message.
If you make order-relevant changes later in the transaction, you can reorder the object items to transfer the changes to the procurement system. To do this, you must set the Repeat Requirement Coverage Request status in the changed item.
If the message was sent successfully, the system sets the status of the ordered object item to Requirement Requested in the lease quotation or lease contract.
In the SRM system, the system creates an external requirement coverage request, from which a purchase order can be generated. Depending on the settings, the purchase order is created immediately from the requirement coverage request or manually by processing the requirement coverage requests in sourcing. The SRM system sends an XML message if creation was successful or if the requirement coverage request was changed or cancelled. When this message is received, the status Requirement Confirmed, Requirement Ordered, or Requirement Cancelled is set in the object item. A purchase order number contained in the message is entered in the transaction history as a follow-on document with document type Purchase Order EC .
In the SRM system, you can then enter an inbound vendor invoice with reference to this purchase order.
Creating a purchase order automatically
In the automated procedure, the products from the object items are ordered if the Released status is set in the corresponding financing item.
The result is exactly the same as the result of the manual procedure.
