Procedure

Searching for License Sales Contracts

  1. Navigate to the License Sales work center.

  2. Under Create, choose Usage Confirmation.

  3. Enter the search criteria.

    By default, you can enter up to three search criteria. You can add additional criteria with the + button. The dropdown menus allow you to choose the attributes to search by, and the operators by which to consider the entered values. For example, one search criterion could be for Licensee Name (attribute) that is (operator) John Smith Inc. If required, you can change the maximum number of results to be returned.

  4. Choose Search.

The results list displays the sales contracts that match the search criteria.

Maintaining Usage Confirmation

  1. Select the required sales contract or contracts from the results list and choose Usage Data with Default or Usage Data.

    You can maintain the usage confirmation for multiple sales contracts at the one time if required. Additionally, you can choose Create Defaults in the Usage Data assignment block on the Enter Usage Data screen to adjust the default lines.

  2. Enter the required data.

  3. Save the usage confirmation.

You can also edit an existing usage confirmation by selecting the usage confirmation and choosing Edit. Change the data as required, and choose Change.

The Display History pushbutton allows you to display or hide the history of the usage confirmation. You can edit this information in the table as required.

Displaying Contract Recoupment Data

You can display the recoupment data of a contract while maintaining the usage confirmation.

On the Enter Usage Data screen, in the Usage Data assignment block, choose Show Recoupment. The recoupment value columns (Advance Value, Royalty Value, and Overage) are added to the Data list.

Simulating and Processing Billing

Once you have saved the usage confirmation data, you can simulate or process the billing procedure.

On the Enter Usage Data screen, in the Usage Data Entered assignment block, choose either Simulate Billing or Process Billing.

Displaying Incomplete Periods

You can display periods where usage confirmation data is missing.

On the Enter Usage Data screen, in the Usage Data Entered assignment block, choose either Simulate Billing or Process Billing. The system displays a dialog box and you can choose Incomplete Periods to view any periods that are not yet fully confirmed (and therefore cannot be billed).

Result

The usage confirmation for any selected license sales contracts is created or changed. If you chose to simulate or process the billing, this is also carried out by the system.

You can enter different currencies in parallel when you enter the confirmation data. This is only possible if an exchange rate has been maintained in the system.

The ITD indicator refers to cumulated data, since data that has already been cumulated and data that refers to the current period (PP data) can be specified in the confirmation. If the ITD indicator is not explicitly selected, the system assumes that PP data has been specified in the confirmation.

  • Advertising costs are calculated as a positive or negative value according to the Customizing setting made in the corresponding condition type.

  • Once the confirmation data has been entered, the system finds the corresponding contract items automatically when you save. This data is then distributed between the associated IPM confirmations, which have been generated by the follow-up document generation function during contract creation.

Data entered in the confirmation is saved as a detailed statement. The main confirmation item and the billing request item are connected by document flow.

Confirmation data is now cumulated for the BRI or royalties item and is available for pricing.
