Report Archiving

Purpose

With this process you can archive in your SAP system the final reportsyou shipped using report shipping .

The options described below are available when archiving reports. You make the necessary system settings in Customizing for Product Safety under Specify Shipping Reasons .

  • Saving parameter values

    If the final report indicator is not set in Customizing for the shipping reason, the final report is deleted and only the values of the symbols of the type Parameter are saved. If you do require the report again later, you can restore it in report shipping using the final report display function.

    This is the default setting for all reports that are delivered with Industrial Hygiene and Safety as examples.

  • Saving the shipped final report in Document Management (CA-DMS)

    If you have set the final report indicator in Customizing for the shipping reason, the final report is saved as a document in Document Management after shipping. As long as you have not set anything else in Customizing for Document Management underDefine Document Types , the SAP system (SAP database) is used as the data carrier.

    If you want to save the final reports in an external archive, you can also use the application component SAP ArchiveLink (BC-SRV-ARL). You make the system settings required for this in Customizing for Basic Data and Tools under EH&S ArchiveLink .

Process Flow

The default process for the final reports in Industrial Hygiene and Safety in the standard system is described below.

  1. During the shipping process, the shipping order passes through the status network for report shipping orders. If shipping was completed successfully, the shipping order has the status WA ( Sent – AC ).

  2. Once you have accepted the shipping order in report management (EHS-SAF-REP) , the system changes the status of the shipping order to CO ( Completed ).

  3. The system deletes the shipped final report and saves its parameter values.

  4. To open the final report again later, choose Start of the navigation path Reports Next navigation step Edit Report Shipping Orders End of the navigation path in the Industrial Hygiene and Safety menu and run a search query for the shipping order.

  5. To display the report, choose Start of the navigation path Goto Next navigation step Final Report Display End of the navigation path in the hit list.

    The SAP system then restores the final report with the saved parameter values and the data for the report body if applicable.
