Setting Up Alert Management for KPIs

Use

You have the possibility of using central alert management for your role.

In addition to the actual KPI, you can also display an alert for the KPI if the KPI value reaches a certain area.

There are the following alert categories:

Alert Category

Meaning

SAP_EPM_KPI_ALERT

Alert for KPI

These procedures describe what you need to watch out for and how the system administration works.

The user receives an alert if the KPI value reaches the yellow or red area, or if the KPI value has become worse in the yellow or red area.

For more information, see Type, Threshold Values, and Target Value of KPI .

We have provided the roles SAP_EPM_PLANT_MANAGER and SAP_EPM_PLANT_MANAGER_ADMIN to simplify the administration for the Plant Manager role. The SAP_EPM_PLANT_MANAGER_ADMIN role contains the required authorizations for the role administration.

You can also escalate alerts: If an alert recipient has not subscribed to the alert within the tolerance time, the alert is sent again to the original recipient as well as an escalation recipient.

You can use report RSALERTPROC to monitor the alert escalation. This report checks if the tolerance time has been exceeded for alerts that have been escalated. If this is the case, the alert is sent to both recipients again.

Procedure

  1. Set up a central alert server on an ERP system according to the Alert Framework requirements.

  2. If your KPI managing system does not contain the alert server, you must create an RFC connection to the system that contains the alert server.

  3. Import the alert category mentioned above from client 000 (SAP client) into the server that has the alert server.

    1. Create an appropriate transport request to do so.

    2. On the SAP Easy Access screen choose Start of the navigation path Tools Next navigation step Administration Next navigation step Administration Next navigation step Client Administration Next navigation step Client Maintenance End of the navigation path and set the Automatic recording of changes indicator in the Changes and Transports for Client-Specific Objects section.

    3. Choose transaction ALRTCATDEF.

    4. You access the Display Alert Categories (Central Alert Server) screen.

    5. Choose Change/Display .

    6. Choose the Alerts for Role of Plant Manager folder.

    7. The alert category SAP_EPM_KPI_ALERT is highlighted automatically.

    8. Choose Start of the navigation path Transport Next navigation step Current Alert Category End of the navigation path .

    9. Save the alert category on the transport request and release the order.

  4. For each user that wants to user alerts for a KPI, create a user master record with an e-mail address in the system of the central alert server.

  5. Assign the KPIs to the users.

  6. If your plant managers need to use an escalation for an alert, carry out the IMG activity Define Alert Categories . Here you activate the escalation for each alert and determine an escalation recipient and a tolerance time. To monitor alert escalation, you must plan and start the report RSALERTPROC (transaction ALRTPROC) as a background job.

Result

The user can now receive KPI alerts if the KPI value exceeds the threshold value. If required, you can escalate alerts and send these to additional recipients if the tolerance time is exceeded.
