You use this process to configure the personal object worklists (POWLs) used to display maintenance jobs to be completed (job list) and maintenance jobs to be confirmed (confirmation list).

Process

  1. Define queries

    A query defines the content of the worklist. You must create a query for the job list POWL and confirmation list POWL the first time you open the corresponding iViews. To do so, follow the standard procedure for defining queries. For more information, see Define New Query.

    The following table lists the selection criteria that are available for creating job list queries and confirmation list queries.

      If you select this checkbox, jobs that someone has already started to work on are not displayed.

    When generating a worklist, the system reads work center and person responsible from the reference documents according to specific rules. For example, in the case of jobs based on maintenance orders, the work center is taken from the operation only. This means that if a work center is assigned to a maintenance order at header level but not at operation level, then a job based on this order would not appear in a job list generated from a query specifying this work center in the selection criteria.     The job list POWL also allows you to define a query using dynamic dates, so you can have job lists that display jobs within a specific time frame based on the current date.

    Example Example

    You want to generate a worklist of all jobs to be completed within the next two weeks. When maintaining the selection criteria, you choose Define Calculated Dates and enter Today as the End Date From, Today Plus N Day(s) as the End Date To, and 14 as the number of days.

    It is possible to define several queries for each POWL. For example, you could create a personal job list that shows only jobs assigned to you, and you could define a team job list that shows jobs assigned to your team or anyone on it.

    After you have defined a query, you can change it by choosing the corresponding link. For more information, see Change Query. Administrators can define standard queries and set up authorizations. For more information, see Setting Up Personal Worklists.

  2. Personalize query display

    Once you have created queries, you can configure how they are displayed. For example, you can activate and deactivate queries, make one query the default, specify whether multiple queries are displayed as links or tab pages, group queries into categories, and so on.

  3. Customize worklist view

    You can customize the way in which information in your worklist is displayed by choosing Settings. For example, you can select, hide and sort columns, create filters, change the layout, and so on. For more information about the available settings, see View with Settings.

    After you make your settings, you have different options for saving:

    • You can save you settings for the duration of the current session by choosing Apply.

    • You can overwrite the settings of the current view by choosing Save.

    • You can save your settings as a new view by choosing Save As...

    Note Note

    • If you just choose OK without saving your settings, then they are only valid for the current session.

    • You can make a view the default view initially when you save it by choosing the corresponding checkbox, or later by choosing Properties and then the corresponding checkbox.

    • A view is always related to one query. This means that you have to make your settings for each query individually and save your settings in a view for each query.

    You can switch between views by making a selection from the corresponding dropdown list above the worklist.
