You use this function to enter bank details for document items.

Basic Information About Bank Details

You enter bank details for a document item. In some cases, you can also enter several bank details for a document item, for example if several advertisers place an order and each advertiser wants to make a payment for their share of the order.

The bank details that you enter for a document item are the payer bank details.

You enter bank details when you create and change document items. The following factors define whether you are offered suitable bank details in a list for selection, whether the system assigns suitable bank details to a document item automatically, or whether you enter new bank details:

  • Admissible payment method

  • Suitable bank details

  • Customer profile for the payer

What Is an Admissible Payment Method?

The admissible payment method is the payment method that can be used for the payer. You have defined the payment method that can be used for a payer in Customizing for the Order under Start of the navigation path Settings for Specific Sales Areas Next navigation step Make General Settings End of the navigation path:

  • If you have selected the BP Payment Method indicator, payment methods are only admissible for a payer if they have been specified in their business partner master data.

  • If you have not selected the BP Payment Method indicator, all payment methods are admissible for every payer.

What Are Suitable Bank Details?

You can specify advertisers and booking units in the intended purpose.

If the intended purpose for bank details matches the data for a document item, the bank details are suitable. The intended purpose of the bank details is suitable for the document item data in the following cases:

  • Bank details without an intended purpose are always suitable.

  • Bank details with an intended purpose are suitable as follows:‎

    • If an advertiser or a booking unit has been specified in the intended purpose, bank details are suitable if an order has been placed for the advertiser or the booking unit.

    • If an advertiser and a booking unit have been specified in the intended purpose, bank details are suitable if an order is placed for the advertiser in the booking unit.

    • If several advertisers and booking units have been specified in the intended purpose, bank details are suitable if an order is placed for one of the advertisers in one of the booking units.

    • If an order is placed for one advertiser in several booking units, bank details are suitable if one of the booking units in which an order is placed is specified in the intended purpose.

    • If an order is placed for several advertisers in one booking unit, bank details are suitable if the advertiser for which the bank details are selected is specified in the intended purpose.

Customer Profile for the Payer

The customer profile for the payer defines whether suitable bank details for a document item can be assigned automatically.

If when you defined the customer profile in Customizing for SAP Business Partner for Media Companies under Start of the navigation path Business Partner in Advertising Management Next navigation step Media Customer Next navigation step Define Customer Profiles End of the navigation path, you selected the indicator (B) Query Bank Details, bank details must be explicitly queried for payers with this customer profile.

Selection of Bank Details When Creating Document Items

You usually try and manage payment transactions for your company using automatic debit, which involves using bank details with collection authorization.

If a payment method is admissible for a payer for which collection authorization is required, the system offers you suitable bank details from the business partner master data for the payer for selection as follows when you create a document item:

List of Bank Details

No payment method is specified, or one is specified that requires a collection authorization, such as automatic debit.

If several sets of suitable bank details have been created in the business partner master data for the payer, the system offers you all suitable bank details with a valid collection authorization for selection.

If only one set of suitable bank details has been created in the business partner master data for the payer, the system automatically assigns the bank details with a valid collection authorization to the document item or offers you them for confirmation. The way in which the system responds is defined by the way in which the customer profile for the payer has been defined in Customizing (indicator (B) Query Bank Details).

If no suitable bank details have been created in the business partner master data for the payer, the system responds as follows:

  • If no payment method was specified, the system does not offer you any bank details for selection.

  • If a payment method was specified, which requires a collection authorization, the system prompts you to create a set of bank details with collection authorization.

A payment method is specified, which does not require collection authorization, but does require bank details, for example for bank direct debit.

If several sets of suitable bank details have been created in the business partner master data for the payer, the system offers you all suitable bank details with and without collection authorization for selection.

If only one set of suitable bank details has been created in the business partner master data for the payer, the system automatically assigns the bank details to the document item or offers you them for confirmation. The way in which the system responds is defined by the way in which the customer profile for the payer has been defined in Customizing (indicator (B) Query Bank Details).

If no suitable bank details have been created in the business partner master data for the payer, the system prompts you to create them.

If you have assigned bank details with a collection authorization, the system checks whether this collection authorization is valid on the billing date when the billing datasets are generated.

Selection of Bank Details When Changing Document Items

The way in which you are offered suitable bank details for selection if you change a document item is dependent on whether bank details were assigned to the document item when it was created.

If you change a document item to which no bank details were assigned when it was created, the system responds in the same way as it does when a document item is created (see above).

If you change a document item to which bank details were assigned when it was created, the system offers you suitable bank details for selection as follows:

A set of bank details without collection authorization has been assigned to the document item.

If you change the booking unit or advertiser and these are no longer suitable for the intended purpose of the bank details, the system informs you that the intended purpose is no longer suitable. You can retain the set of bank details that has been assigned or select new bank details.

If you enter a payment method that requires a collection authorization, the system responds in the same way as it does when document items are created (see Prerequisite No payment method is specified, or one is specified that requires a collection authorization.

If you enter a different payment method, the system does not offer you any bank details for selection. The assigned set of bank details remains assigned.

A set of bank details with collection authorization has been assigned to the document item.

If you change the booking unit or advertiser and these are no longer suitable for the intended purpose of the bank details, the system informs you that the intended purpose is no longer suitable. You can retain the set of bank details that has been assigned or select new bank details.

If you change the payment method, the system does not offer you any bank details for selection. The assigned set of bank details remains assigned.

If you delete the collection authorization for a set of assigned bank details, when you change the document item to which these bank details are assigned with a payment method that requires a collection authorization, the system notifies you of the inconsistency. You can decide whether you want to change the payment method or assign different bank details to the document item.

Creating and Changing Bank Details

All suitable bank details are displayed in a list.

If several advertisers have been assigned to the document item, the list refers to the first advertiser for the item or the advertiser assignment that was selected on the Advertiser tab page.

The system displays this list automatically. If you want to access the list, choose Bank Details on the Advertiser tab page.

The list is sorted in ascending order according to the bank country, bank key and bank account. You can however use the Sort and Change Layout functions to sort this differently.

The following functions are available to you for editing the list in addition to the standard SAP List Viewer functions:

Transfer Bank Details

Select a set of bank details and transfer them in the document item.

The system always transfers the bank details that are selected in the list. If no bank details are selected in the list, any existing assignment can be deleted. This applies particularly if a set of bank details is selected that is not suitable for the order data and you only want to display suitable bank details. In this situation, no bank details are selected in the list. If you transfer the assignment without selecting suitable bank details, the system deletes assigned unsuitable bank details.

Create Bank Details

Create a set of bank details that is updated in the business partner master data for the payer when the item data is saved.

When you create a set of bank details, you can specify the bank country, bank key, intended purpose and a collection authorization.

If you specify a collection authoriazion, the system defines the validity period for this from the system date and 31.12.9999, the currency from the bank country and the issuer from the sold-to party.

If you specify an intended purpose, the system defines a default intended purpose from the advertiser and the booking unit for the document item.

You can change the default settings for the collection authorization and intended purpose. You can also transfer a set of bank details for the payer that has already been created in a different sales area to the current sales area.

If you have created a set of bank details, the system displays them in the list if they are suitable. The New indicator is selected and the bank details are selected in the list.

Change Bank Details

Change a set of bank details. Note that you can only change bank details for which the New indicator is selected.

When you change a set of bank details, you can change the bank country, bank key, intended purpose and collection authorization.

Display Bank Details

All bank details that have been created in the business partner master data for the payer or only display suitable bank details.

If the number of suitable bank details is lower than the number of bank details that have been created in the business partner master data for the payer, you can display suitable bank details or all bank details in the list.

If you do not require all functions in the list, you can hide the function codes for specific users in the Customizing settings for SAP Media under Start of the navigation path General Settings Next navigation step Define Function Code Exclusion for Users (IS-M/AM) End of the navigation path. To do so, create the corresponding entries for the program SAPLJHA2 and screen 0111.

You cannot hide standard functions in the SAP List Viewer. You can hide the following media-specific functions:

  • WEIT (Transfer Bank Details)

  • ANLE (Create Bank Details)

  • AEND (Change Bank Details)

  • ALLE (Display All Bank Details)

  • PASS (Display Suitable Bank Details)

  • ABRE (Cancel)

SEPA-Based Enhancements

The introduction of the SEPA payment procedure has extended the functions for entering bank details as follows:

  • If you have assigned a SEPA payment method to the business partner, the system proposes the first assigned SEPA payment method before the first payment method with collection authorization.

  • Bank details are only suitable for a SEPA payment method if they have an IBAN.

  • A column with information about the mandate status has been added to the list of suitable/available bank details.

  • The IBAN for the bank details must be entered for a SEPA payment method.

  • You do not need to assign a reference to a SEPA mandate.

  • If mandates are assigned to the bank details, the system defines these automatically.

  • If no SEPA mandate exists, the system creates one automatically.

  • You can access SEPA mandate processing from M/AM order maintenance to edit the mandate attributes.
