Determination of Item StatusThis function is used to instruct the system to determine the item status for a document item.
It is part of document processing and is available to you as follows during creation and modification of document items on the
Status
tab page at item level:
Note
The system determines a status for sub-items, schedule lines, billing datasets, ad specs, sub ad specs and sales agent assignments. The status of these sales document objects influences the item status of a document item.
A document item is to be billed:
After it is published
Before it is published
Significance of status characteristics for billing
You can only bill a document item if you have not selected the
Billing
incomplete
status characteristic
(XUVFAKT)
in the item status. If one of the following status characteristics is selected in the item status of a contract and price-relevant document item, the system also selects the
Billing incomplete
(XUVFAKT)
status characteristic in the item status:
Generate schedule lines (XGENEINT)
No billing dataset (XGENGRPF)
Contract is incomplete (XUVABSCHL)
Pricing incomplete (XUVPREIS)
BP incomplete (XUVGP)
Reservation (XRESERV)
Commercial release (XKOMMFRG)
Credit block (XSPERR_BON)
Post-editing reqd (XNACHBEARB)
If you select a status characteristic with a dependent status characteristic in the item status, this dependent status characteristic is also selected. If for example the
Generate schedule lines
(XGENEINT)
status characteristic is selected in the item status of a contract and price-relevant document item, the system also selects the following status characteristics in the item status:
No billing dataset (XGENGRPF)
Contract is incomplete (XUVABSCHL)
Pricing incomplete (XUVPREIS)
Billing incomplete (XUVFAKT)
If the
Billing incomplete (XUVFAKT)
status characteristic is selected, the data required for billing is incomplete and the system does not enter billing datasets for the document item in the billing index.
The diagram below shows which status level the item status for a document has reached when one or more of the status characteristics have been selected.
Note
To give the credit block greater significance in the status concept, you must change the numerical value of the status characteristic in Customizing.
Significance of status characteristics for advance billing
The system allows you to perform billing for a document item before the associated schedule lines have been published. This means that you can bill a document item that is relevant to production
even though
the
Billing incomplete (XUVFAKT)
status characteristic has been selected in the item status.
The
Billing incomplete (XUVFAKT)
status characteristic can only be selected in the item status because the
Incomplete (tech.) (XUVTECH)
status characteristic has been selected. You cannot bill the document item before its associated schedule lines have been published if the
Billing incomplete (XUVFAKT)
status characteristic has been selected because one of the following status characteristics have been selected:
Generate schedule lines

Ad items
The
Incomplete (tech.) (XUVTECH)
status characteristic is selected in the item status for an ad item if the
Ad spec incomplete
(XUVMOT)
status characteristic is also selected in the item status.
If the
Ad spec incomplete
(XUVMOT)
status characteristic is selected in the item status for an ad item even though the ad spec data appears to be complete, the actual size of the ad spec has been defined as relevant to settlement in Customizing:
If you are running the
Advertising Management
System in conjunction with a technical system, the actual size of the ad spec has not yet been returned to the
Advertising Management
System by the technical system.
If you have not connected a technical system to the
Advertising Management
System, the actual size of the ad spec has not yet been returned using the manual on-screen mark up check for the ad spec data.
Ad insert items
The
Incomplete (tech.) (XUVTECH)
status characteristic is selected in the item status for an ad insert item if the
AI data incomplete (XUVSI), Positioned (XSI_PLAZ),
Delivered(XSI_VORH)
or
Sample checked (XMUSTER_OK)
indicator has also been selected in the item status.
Commercial and service items.
The
Incomplete (tech.) (XUVTECH)
status characteristic is not available in the item status for commercial and service items.
Significance of status characteristics for production
If a schedule line that has been generated for an item has reached status level
50, Complete, released, partially processed
or
60, Processing complete, no longer modifiable
, the
Tech.process.started
(XTECH_MIN1)
status characteristic is selected in the item status.
If all schedule lines that have been generated for an item have reached status level
60, Processing complete, no longer modifiable
, the system selects the
Tech.process.started
(XTECH_MIN1)
and the
Technically complete
(XTECH_EE) status characteristics in the item status.
You define when a schedule line in a document item reaches status level
60, Processing complete, no longer modifiable
in Customizing. A schedule line for an ad or ad insert item usually reaches status level
60
if it has been published or aired.
If the
Tech.process.started (XTECH_MIN1)
status characteristic has been selected in the item status for a document item, you can no longer make entries in the item data fields that control schedule line generation.
