Status in Sales Documents

Definition

Overall value determined by the system from a particular number of characteristics with a numerical value.

The attributes that this overall value can have are described as status levels. The following status levels are available:

  • Cancelled (logically deleted)

  • 10: Created incompletely

  • 20: Complete, reserved

  • 30: Complete, fixed posting, still to be released

  • 40: Complete, fixed posting, released, modifiable

  • 50: Complete, released, partially processed

  • 60: Processing complete, no longer modifiable

  • 99: Initial value

Use

A sales document is not a statistical object. A sales document has its own lifecycle. This usually begins with the creation of a document item and ends with billing of a billing dataset.

Status levels describe the processing status of a document item and determine the activities that you must perform during document processing to allow the system to perform production, billing and settlement for the document item.

Example Example

You can only grant a sales agent commission if the sales agent assignment has reached status level 40, Complete, fixed posting, released, modifiable .

The system determines a status to describe the processing status of a document item for the following sales document objects:

  • Document item

  • Sub-item

  • Schedule line

  • Billing dataset

  • Ad spec

  • Sales agent assignment

If you change the data in a sales document object, this can affect the attributes of a status characteristic. If the attributes of a status characteristic change, this can affect the status levels of the sales document object.

Example Example

The system selects the Generate sched.lines status characteristic in the item status for an ad item. The user checks whether booking units, content components and dates have been entered correctly and amends any incorrect entries. The system generates new schedule lines for the ad item. The Generate sched.lines status characteristic is no longer selected in the item status. The numerical value of the status characteristic changes. The item status changes if the numerical value of the Generate sched.lines status characteristic was the lowest value.

The status levels of sales document objects increase during order processing until an order is completed and a document item has reached status level 60, Processing complete, no longer modifiable .

If a sales document object has reached status 60 , you can no longer make entries or perform functions in this object and all dependent sales document objects that do not have an individual status.

Example Example

If an ad item has reached status 60 processing complete, no longer modifiable, you can not enter box numbers, advertisers, contracts, responses or cancellations for this item.

To highlight the status of a sales document object in document processing, you can assign a symbol such as a red, yellow or green traffic light to each status level.

Integration

Status evaluations of the order lists allow you to determine document items, schedule lines, billing datasets and ad specs using status levels and status characteristics, such as all ad items with incomplete ad specs.

Output control allows you to control processing of document items, schedule lines, billing datasets and ad specs using status levels. You can for example forward a document item that has been created completely but has not been reserved to the next user for release.
