Processing Cases
Use
Using this process, you can map and control the decision-making processes in the system that affect a particular business transaction such as a parliamentary motion or a business proposal.
You manage the documents connected to this process in the case. You also control the process by including employees either in predefined process routes or in ad hoc changes to process routes (processing transactions) for decision-making and completing cases.
Prerequisites
The settings for case processing have been made in Customizing.
You can find more information in the implementation guide (IMG) of Records and Case Management under Case.
You can define cases types to determine how a case should be processed. The case type is the main characteristic of a case which incorporates the different Customizing settings. You can find more information in the IMG of Records and Case Management under .
Process
-
The processing of the contents of the case begins when the processor receives the case.
The case can be internal or external. External cases are sent to the responsible processor (initiating) once the Incoming Post Process is completed. In this process, the preparatory tasks, such as the registration of incoming items or the creation of cases, are completed.
-
The initiator of the case collects the papers required for the processing. They also determine which employees should be involved in the processing of the case and which activities they should carry out (such as co-signing). They carry out the following activities in the system:
-
They enter the required documents into the case. They flag one document as the "Main Document". The activity the employee has to carry out usually refers to this document. The other documents that are assigned to the case provide background information for decision-making.
-
They define the process route of the case and the activities of the employees involved. For more information, see Creating Process Routes.
-
They create business memos to provide information or instructions for the next processor of the case.
For more information, see Entering Memos.
-
-
The initiator starts the process and controls the process to check, for example, that the co-signings and final signings were completed and the business memos noted.
-
Once processing has finished, the letter of reply is sent and the case is sent to the records after a particular period of time has elapsed.
