Generating a Unique Indicator
Use
Using generation rules and generation profiles, you can define the generation of indicators or descriptions for the elements in the fileplan according to a fixed syntax.
-
For each element in the fileplan, you can use a generation rule to support the generation of the attribute unique description (SRM_DOCUMENT_ID and PS_REFERENCE).
Sample rules with predefined descriptions area available in the standard system. For example, the following keys are defined for classes:
-
Text output CLASS
-
A generated sequence number (context counter)
-
Hyphen
-
Creation year
Sample of a class: CLASS 123 - 2004
-
-
If you use generation profile, you can have the system generate two additional descriptions for the elements class, folder, and part on the basis of your user entries. These generic descriptions are supported in the standard system for the attributes class (RMPSP_FPLID) and name (RMPSP_TITLE).
In the standard system, there are sample profiles and sample rules available that link the description for an element with the higher-level node descriptions. The path name of an element in the fileplan is generated as an additional description or name of an element.
Sample of a generated name: BUILDINGAPPLICATION/INDUSTRY/SAP (see graphic below)
Features
The unique description and the generic description or name of an element are generated using the folder number generator. The descriptions are generated on the basis of the generation rules defined there. For more information on defining generation rules in Records Management under Folder Number Generator.
You define which generation rules or generation profile you use for an element in the fileplan for the folder model in the attributes Generation Rule for Folder Number Generator and Profile for Indicator Generation. If you have assigned several generation rules or profiles for an element, you can select one of them when you create a new element in attribute processing.
Sample generation rules and generation profiles are provided in the standard system . You can use them as templates for defining your own rules and profiles.

Activities
You define generation rules and profiles in Customizing under .In this section of the IMG, you assign the rules/profiles for the folder model used.
You assign generation rules/profiles for the element folder separately under .
Example
The examples describe the settings to be made for a generation profile. This generation profile should support the generation of the name of classes.
-
You define the generation rule Z_TITLE_SUB_CLASS (corresponds to the sample rule PRO_TITLE_SUB_CLASS).
In this rule it is defined that the name of the class (attribute RMPSP_TITLE) is made up of the name of the higher-level class and the name of the position separated by a slash. This means that the generated name reflects the path of the class in the fileplan.
-
You define the generation profile Z_CLASS (corresponds to the standard sample profile PRO_CLASS).
In the profile you define the attribute to be generated RMPSP_TITLE and an additional attribute RMPSP_TITLE_RNAM in which the user (in the example SAP) saved the value. You also assign the generation rule you created in step 1. The instructions for the name to be generated are defined in it.
-
You assign the generation profile to the folder model for classes. In the folder model, you define the generation profile to be used in the attribute Profile for Indicator Generation.
The following graphic illustrates the example described above:
