Reassigning Elements in the Fileplan

Use

You use this function to move classes, folders, documents, and incoming post items in the fileplan to a different place. Any subordinate elements are moved too.

When you move element, the metadata of the new higher-level elements is inherited, updated or the old values are retained depending on how you defined your passing on logic for element types. Note that attribute values that were changed manually are excluded from inheritance during reassignment (see Passing on Metadata).

Procedure

Reassigning Classes

  1. Place the cursor on the class you want to reassign and select the position or subtree in the application toolbar using ( Select Node/Subtree).

  2. Position the cursor on the place in the fileplan to which you want to move the selected class or subtree.

  3. In the application toolbar, choose ( Add Selected Node/Subtree) and define the reference of the node to be reassigned.

  4. You are asked to enter a reason for the reassignment as a comment. Enter a comment for the log, then choose Continue.

    The element selected and its subnodes are moved and the change is saved in the fileplan.

Reassigning Folders

  1. Place the cursor on the folders you want to reassign and choose the menu entry Select Folder in the application toolbar using ( Folder).

    In the dialog box Select Folder, select the folder to be reassigned and choose ( Select).

  2. Position the cursor on the place in the fileplan you want to move the folder to.

  3. Choose the menu entry Add Folder in the application toolbar using ( Folder).

  4. You are asked to enter a reason for the reassignment as a comment. Enter a comment for the log, then choose Continue.

    The folder is moved to the new place in the fileplan.

Reassigning Documents and Incoming Post Items

  1. Place the cursor on the document you want to reassign and choose the menu entry Reassign using ( Activities).

  2. In the dialog box Select Folder, choose the new folder in which the document should be reassigned.

  3. In the Comment field, enter the reason for the reassignment and choose ( Continue).

    The document is moved to the new place in the fileplan.

Result

Result If error messages or warnings were issued when the elements were reassigned, you can find a complete list of all warnings and error messages in the dialog box Log Display. Warnings are issued if , for example, attributes values that were changed manually were not changed in the reassignment. If no errors occurred, the dialog box Log Display is not displayed.

The reassignment of elements in the fileplan is logged in the history of fileplan assignment.

  • For classes, you can call the history of fileplan assignment in the application toolbar under ( Class) in the menu entry Reclassifications. The reason for the change that was entered as a comment is also in the history.

  • For folders, you call the history of fileplan assignment under ( Functions TNA) in the menu entry History Fileplan Assignments.

  • For documents (and incoming post items), you call the history of fileplan assignment in the application toolbar under ( Reclassification).
