SAP Task Center enables you to centrally access all your tasks.
The tasks can be processed either in the SAP Task Center Web app, or in the corresponding back-end system.
SAP Task Center supports also a substitution management view, where you can create a substitution rule and define its scope. You can access the Substitution Management view from the user menu in the upper right corner of your SAP Task Center Web app.

You get a notification whenever a new task is added to your task list. Clicking on the notification opens the task details on fullscreen.
To adjust your notification settings, go to the user menu and choose . For more information, see Working with Notifications.
The filter tab All displays all tasks assigned to you for processing, which are available in the connected systems. Additional filter tabs might be displayed as well, if configured in advance.
The Failed Tasks filter tab appears only if there are tasks, failed during processing. For more details, choose the Processing Errors icon () in the row of the task in the task list.
By choosing Refresh Tasks the task list is synchronized with the current state of the SAP Task Center service cache.
The SAP Task Center service retrieves the latest task updates from the connected back-end systems every 30 seconds.
Choose Adapt Filters to personalize the available filter options. You can choose to hide or show certain filter options from the SAP Task Center Web app filter, depending on your preference. You can choose between List View and Group View elements.
In case you filter by a task, which contains custom attributes, the Adapt Filters dialog is extended with filter options, corresponding to custom attribute values for a specific task.
With SAP Task Center you have the option to process multiple tasks at once.
To enable the Mass Actions, filter the task list by a single task type that supports mass actions.
As a result, the Mass Actions button becomes active and is populated with all supported decision options for the selected task definition.
Please note the following specifics when processing multiple tasks:
The Select All checkbox selects only the loaded tasks on the current page.
The Decision Reason and Decision Note you enter apply to all tasks, processed by the mass action.
If you choose an inline action to a task, the decision is applied only to that task.
You can process up to 2000 tasks at once.
Sort the task list by choosing between ascending or descending order and other predefined sorting criteria.
The active sorting order is marked by an indicator ( or ) displayed next to the title of the column that has been selected as the sorting criteria.
To be able to sort by custom attributes, you have to first filter by a single task type.
Choose which columns to be visualized in the SAP Task Center Web app.
You can choose to search for columns, hide or display, and reorder columns.
When you save your personalization, you can use it in another browser session or device, without having to make the changes in the Web app again.
This option is visible as soon as a substitution rule, assigned to you, is active. Choose the name of the colleague, whose tasks you want to work on, and process them as usual.
Note, that when you choose a name from the list, your Web app adjusts the tasks to reflect those of the chosen substitute. You will no longer see your own tasks until you clear the On Behalf Of option.
The On Behalf Of option remains visible as long as the substitution rule is active. All substitution periods are calculated according to UTC time.
The Task column displays the title of the task and additional information about it, if configured by your administrator.
The task type name, provided by the task provider.
Note, that in some cases the status of the task in the task provider system, and the status displayed in the Web app might be different.
Shows the display name of the user, who created the task, if set by the task provider system.
Shows the creation date of the task.
Shows the deadline for completing the task.
The Actions column contains various decision options. You can directly select the first suggested decision option or choose another one from the dropdown list.
It may contain the following types of actions:
Actions defined by task provider (for example Approve, Reject, Claim/ Release, Forward)
Please note that in case you forward a task with an embedded UI, the recipient needs to have the necessary authorizations to see it. Otherwise, the Web app would render the standard user interface for task details.
The standard action Open in App
Choosing this button opens the task in the task provider system.

When you select one of the available decision options a decision pop-up may appear on your screen, if additional information needs to be provided. To process the task you might be requested to provide a decision reason and decision note, depending on the task.
Mandatory fields are marked with an asterisk (*).
Choose the Open in App button to open the task details in the task provider system.
Choose Show More to view or upload comments and attachments for this task, if supported by the task provider system.
All decision options, valid for the selected task, are displayed as buttons.
This list shows your existing substitution rules, their status, the name of your substitute and the substitution period.
Please pay attention to the substitutions in orange (with errors), as they might not be working properly.
The information about the status of a substitution can be:
Ongoing (in green): substitution has already started and performs with no errors. Your substitute can access and work on your tasks.
Ongoing (in orange): substitution has already started and has encountered at least one error. Your substitute might not receive some or all your tasks, due to an error. Make sure you take a look at the scope table in the details of this substitution and try to repair the substitution rule.
Upcoming (in gray): substitution has not started yet and has been set up correctly. When the start date comes, your substitute should be able to access and work on your tasks.
Upcoming (in orange): substitution has not started yet but has encountered at least one error. Your substitute might not receive some or all your tasks, due to an error. Make sure you take a look at the scope table in the details of this substitution and try to repair the substitution rule.
Add a substitution and let someone work on your tasks during your absence. On the start date of the substitution, your substitute will be able to see the tasks, defined in the substitution rule, via the On Behalf Of filter.
The substitution is automatically activated on the start date (in UTC time) that you selected and is automatically deactivated on the end date.
Remove a substitution by choosing Delete.
If the deletion was successful, you get a success message, and the rule disappears from the list of substitutions.
Please note, that a deletion may succeed only partially (for some task providers), or not succeed at all.
In case of a partial deletion, the task providers for which the substitution was deleted successfully are removed from the scope. The status of the remaining task providers in the list remains unchanged, and the rule continues applying further until all task providers on the list of the remaining scope are deleted.
A substitution is automatically deleted after it expires.
Shows the name of the system, where the substitution rule was created.
Informs about the status of a substitution rule:
OK - substitution in status OK.
OK - substitution in status OK. Additionally, there is a remark, sent by the task provider system. Make sure you check this information by clicking on the status.
ERROR - substitution with errors. You can find more details about the error by clicking on it, and you can try to repair it by choosing the Repair button in the Action column.
In case of a status ERROR, a Repair button appears in this column. Choose the operation Repair, and the system will try to fix the problem. Please be aware that your substitute will not have access to the tasks from the task provider in status ERROR until the issue is resolved.
Choose the task providers, for which the substitution rule should apply. This list contains only the active task providers, which support substitutions.
Select the period of the substitution. The substitution starts applying at 00:00 UTC on the start date and ends at 23:59 UTC on the end date.
If your substitute is not in UTC time zone, they will start receiving your tasks in advance or with a delay, depending on the time difference between their time zone and UTC.
The substitution is automatically enabled on the start date and your substitute can process your tasks.
Type in at least three characters, start the search () and choose a substitute from the suggested entries. Save the substitution by choosing Add.
