Prerequisites

  • You have created a summarization hierarchy.

  • If you want to use parallel processing in order to shorten the runtime of the data collection run, ask your system administrator to set up a server group and tell you the maximum number of tasks.

Defining a Server Group

To specify which servers the summarization run should run on, choose Start of the navigation path Tools Next navigation step Administration Next navigation step Administration Next navigation step Network Next navigation step RFC Destinations Next navigation step Extras Next navigation step RFC Groups End of the navigation path.

It is recommended that you execute the data collection run after each period-end closing, thus summarizing current data such as target costs, work in process and variances.

If you want to monitor actual costs, it can also be helpful to execute a data collection run during a period before period-end closing activities.

Procedure

To perform a data collection run:

  1. Choose Start of the navigation path Accounting Next navigation step Controlling Next navigation step Product Cost Controlling Next navigation step Cost Object Controlling Next navigation step Product Cost by Period / Product Cost by Order / Product Cost by Sales Order Next navigation step Information System Next navigation step Tools Next navigation step Data Collection Next navigation step For Summarization Hierarchy End of the navigation path.

    The CO Summarization screen appears.

  2. Enter the following data:

    • Hierarchy

      For a list of summarization hierarchies in the controlling area, press F4.

      To see a list of hierarchies that have been summarized, choose Start of the navigation path Extras Next navigation step Summarized Hierarchies End of the navigation path.

    • Hierarchy Node

      If you only want to summarize part of the hierarchy, choose the arrow symbol button Set subhierarchy. All fields are listed for which summarization has been carried out (such as the plant or material). Enter the field attributes for which the summarization is to be carried out.

      Example Example

      If you enter plant 0001 and material PROD-1, the costs of all orders will be summarized that were created for material PROD-1 in plant 0001.

      If you enter only plant 0001, only the costs for all orders in plant 0001 will be summarized.

    • From Fiscal Year/Period and To Fiscal Year/Period

      The values for these periods will be displayed for the objects selected according to the summarization hierarchy. If an object does not have any values in the periods specified, it is included during data collection but with no values.

  3. Select one of the following options:

    • Summarization Run

      If you select this option, the data for the periods within the specified summarization time frame are reset and recalculated in the summarization run. Data on the summarization object for periods outside of the summarization time frame is retained.

    • Hierarchy Without Data

      Select this option if you want only the structure of a summarization object without data.

    • Deletion Run

      With this option, all summarization objects created by previous data collection runs are deleted. The hierarchy definition can then be changed again.

  4. Choose Start of the navigation path Extras Next navigation step Exception Next navigation step Define Rule End of the navigation path. This allows traffic light symbols to be displayed at hierarchy nodes for which predefined threshold values have been exceeded. You define the rules for exceptions in Customizing. Here you specify the basis for the threshold values and the amount by which much the threshold value has to be exceeded before a traffic light is set.

  5. By default, the Background Processing indicator is selected. If you want to perform the summarization run online, deselect this indicator.

  6. If you want to use parallel processing for the data collection run, choose Parallel Processing.

    The dialog box Parallel Processing appears.

    Select Activate online parallel processing and enter the following data:

    • Maximum number of tasks (number of system sessions on the servers)

    • Number of nodes (task)

    • Server group

    Choose Confirm.

    Caution Caution

    System resources are utilized in accordance with the number of tasks. For this reason you should limit the number of tasks or only use parallel processing when sufficient system resources are available.

  7. Choose Execute.

    If you have deselected the Background Processing indicator, a dialog box appears in which you must confirm the order summarization run.

Result

An overview screen is now displayed showing the processed nodes of the hierarchy.

You can use the following functions:

  • Message log

    The message log lists any errors that occurred and any information messages that were issued during summarization.

  • Table statistics

    The table statistics specify how many totals records were written during summarization.
