The process of clarification processing supports the agent in completing clarification cases in dialog.

Clarification processing:

  • Delivers the clarification worklist

  • Supports the individual selection of clarification cases

  • Displays the clarification case data in detail along with data for the invoicing environment

  • Supports the agent with individual clarification case processing by making a selection of functions for status changes available

Integration

Clarification Framework Controller (Transaction FKKINV_CFC)

Clarification processing in invoicing is an application of the Clarification Framework Controller (CFC) and can be called using transaction FKKINV_CFC.

Customizing

Customizing settings for processing clarification cases are provided by SAP (see Customizing for Contract Accounts Receivable and Payable under Start of the navigation path Technical Settings Next navigation step Prepare Processing of Clarification Worklist End of the navigation path).

Check and add to the default values for application object FINV (for example, the selection fields for clarification processing).

You can specify when clarification cases are created in Customizing for Contract Accounts Receivable and Payable under Start of the navigation path Convergent Invoicing Next navigation step Clarification Processing End of the navigation path.

Features

Role definition

In Customizing, you can use a role definition (similar to SAP workflow) to assign an agent to individual clarification cases in the clarification worklist. This agent then receives only those clarification cases in his or her clarification worklist for which he or she is responsible within the organizational structure linked to the role.

The system evaluates the units of your organizational structure to determine the clarification cases needing processing. For more information about role definition in SAP Workflow, see Role Definition.

This assignment is optional. Each agent can limit the number of clarification cases for processing using selection criteria. For example, they can specify a company code after calling the function for clarification processing. You define the fields that are displayed on the selection screen in Customizing.

Parallel Processing

Clarification cases can be processed by several agents in parallel. You can reserve clarification items in the clarification worklist for a particular agent, thereby preventing them from being processed by other agents. An agent can choose to cancel this reservation.

You can also impose a time limit on these locks in Customizing. After the lock interval has expired, the clarification cases can be accessed by all clerks.

Refreshing the Clarification Worklist

To refresh the clarification worklist you can either:

  • Refresh the status information: This only updates the status of the individual clarification cases in the list. You can now see which clarification cases were locked or clarified by other agents since the previous update.

  • Reselect the list: The system reselects items based on the selection criteria you entered on the selection screen when you first called up the list. If you choose reselection, those items that have been clarified or locked by other users no longer appear in the list.

Reading Attributes and Entering Notes

For each clarification case, you can display a detailed overview with its attributes. If you have activated the use of notes for clarification cases in Customizing, then you can see these the notes in the detailed overview. If the clarification case was locked by a user, you can add your own notes.

Clarification

You can clarify clarification cases that are not yet completed. The following attributes for the clarification case are displayed during clarification:

  • Clarification case number, clarification case category, creation data

  • Master data: business partner, contract account or possibly contract reference, subapplication

  • Status information

  • Notes

The clarification case is blocked by the user during clarification so that you can also add your own notes here. The system enables you to navigate to the display of various master data. In addition, you can also display the account balance of the business partner or the contract account as well as the invoicing orders of the contract account. You can start invoicing in simulation mode or invoice the contract account.

Processing Unclarified Clarification Cases of Categories 01 or 02

When you are processing a clarification case of clarification category 01 or 02, the system displays data of the source document. You can navigate in this source document display. If you have a clarification case of clarification case category 01, additional data is output for checking the source document.

You can check the source document and edit the processing status of the clarification case.

The following possibilities exist:

  • Source document can be invoiced (status 01): The system automatically sets the technical status to Completed. The source document is processed during the next invoicing without being checked.

  • Source document cannot be invoiced (status 02): The system automatically sets the technical status to In Process. The source document cannot be invoiced and this ends processing of the invoicing unit that the source document belongs to.

  • Source document is rescheduled (status 03): The system automatically sets the technical status to In Process. The source document cannot be invoiced. It is already excluded during the creation of invoicing units in invoicing.

Processing Unclarified Clarification Cases of Categories 03 to 06

If you process an unclarified clarification case of clarification case category 03 to 06, the system displays invoicing data such as invoicing process, control document, amount, and data for the clarification reason.

If a control document exists, you can display it.

The following possibilities exist:

  • Clarification case is clarified without invoicing (status 09): The system automatically sets the technical status to Completed.

  • Contract account cannot be invoiced (status 11): The system automatically sets the technical status to In Process. The contract account cannot be invoiced and this ends processing of the invoicing unit that the contract account belongs to.

Integration in Invoicing

To create invoicing in dialog and to clarify existing clarification cases, you can use the Invoice Contract Account function or you can create invoices individually (transaction FKKINV_S).

You can assign the following processing statuses:

  • Source document is invoiced (status 05): The system automatically sets the technical status to Completed.

  • Contract account is invoiced in dialog (status 08): The system automatically sets the technical status to Completed when all source documents of the invoicing unit that originally led to the creation of clarification cases were invoiced.

  • Contract account is partially invoiced (status 06): The technical status is In Process, if at least one source document but not all source documents of the invoicing unit that originally led to the creation of clarification cases are invoiced.
