Route planning is an integral feature of Travel Expenses that calculates the route and distance. It provides the following functions:
Entry of addresses either by typing them in directly, selecting the last addresses used, or selecting predefined addresses
Validation of addresses
Calculation of distance based on the validated address data
Route displayed on a zoomable map
Calculated distance and map are updated when the data is changed
Calculated distance is displayed in the travel expense report as a separate field that cannot be changed by the user
When you enter the general data for an expense report, the option
Choose Address
enables you to select from among the addresses predefined in Customizing rather than having to type the address in by hand. When you have entered the departure and arrival addresses,
Calculate Route
calculates the one-way or (if
Round Trip
is selected) the round-trip distance based on the address geocoding data.
You can then view the route on a zoomable map. When you accept the route, the system displays additional details for the addresses from the geocoding data, such as postal codes. The address fields are then no longer input-ready. To make changes, first press
Reset Map
.
If the address you enter is not exact enough, a list of addresses that most closely match it is displayed, from which you can select the address you want. The total distance and the route displayed on the map are updated each time you select an address.
In the list of predefined addresses, the home address and company address are highlighted and shown at the top of the list.
You need to have agreed on terms of use with SAP’s geocontent partners before you can use these functions. Depending on the available geocoding data, routes can be calculated and displayed down to the exact street and house number for many cities in the world.
To make the option
Calculate Route
visible in the screen for entering the general data, you must set this in Customizing for the Web Dynpro interface. You do this under
. Enter the trip schema here. Open the trip schema on the left side of the screen by double-clicking on it. On the right side of the screen under
Activate Entry Screens
, select the fields
Enter Addresses for Legs of Trips
and
Calculate Distance
.
If you want the distance to be calculated only by the system (with no manual entry allowed), you can deactivate the distance field in this Customizing activity.
To enable Travel Management to calculate distances based on the addresses entered, you need to allow access to the Internet Graphics Service (IGS) in Customizing. You do this by choosing

Assign Geocoding Program to Countries
, you then assign the corresponding geocoding programs to all countries for which you want to use geocoding.
