Creating and Authorizing Users for ESS

Use

You assign users to employees and roles to these users to give the users all authorizations necessary for Employee Self-Service .

You have to differentiate between two groups of employees:

  • Employees with users without ESS authorization

    They still require the role (containing the authorization).

    You can assign existing users to the employees .

  • Employees without users

    These are employees who still need to be assigned a user and a role (containing the authorization).

Prerequisites

You have chosen the employees required and are on the Set Up and Maintain ESS Users (Overview) screen.

Setting Up Users for Employees With Users and Without ESS Authorization

If you selected All employees or Employees with users , you can assign roles to the employees who are already assigned to a user without ESS authorization (role).

  1. In the Employees With/Without User group box, select the Employees with Users and choose Display .

    The number of employees is displayed.

    Note Note

    If this number is very large, you can run the job in the background.

    The Relate Users with Persons screen appears.

  2. Select the employees required.

  3. Choose Authorization assignment .

    The Attributes of Users to be Created screen appears.

  4. Choose Execute .

    You have assigned the role to the users of the selected employees.

Setting Up Users for Employees Without Users

If you have selected All employees or Employees with users , you can create a user for the employees who are not already assigned to a user and assign the role to this user.

  1. In the Employees With/Without User group box, select the Employees Without Users and choose Overview .

    The number of employees is displayed.

    Note Note

    If this number is very large, you can run the job in the background.

    The Create Users for Persons screen appears.

  2. Select the employees required.

  3. Choose Create Users with Authorization.

    The Attributes of Users screen appears. For information about the default values that you can specify for this purpose, see Defining User Attributes .

  4. Change the default values if necessary.

  5. Choose Execute .

Result

You have created users for the selected employees. You can view the relationship for these employees in the Communication infotype (0105). When creating the users, the system also assigns the role.

Your employees can now use the ESS applications.
