Configuring the E-Mail Notification

Use

To get e-mail to work in conjunction with Collaboration Workflow you have to configure the e-mail notification.

Procedure

  1. Navigate to Start of the navigation pathSystem Administration Next navigation step System Configuration Next navigation step Universal Worklist and Workflow Next navigation step Workflow Next navigation step Engine Next navigation step EngineEnd of the navigation path.

  2. Choose the notification service you want to use. If you don't have the KM installed with the portal then change the Notification Service to Java Mail .

  3. Now navigate to Start of the navigation pathSystem Administration Next navigation step System Configuration Next navigation step Universal Worklist and Workflow Next navigation step Workflow Next navigation step Mail Next navigation step MailEnd of the navigation path.

  4. For Java mail notifications configure the parameters, which are explained in the following table.

Parameter

Mail sender (is copied to From field of sent messages)

SMTP Host

Name of SMTP server host (typically used to send e-mail only).

Subject

Statement appearing as the default subject in the mail

Troubleshooting E-Mail Notifications

I do not get any e-mail notifications when using collaboration task. What needs to be configured to receive e-mail notifications through the KM notification service?

  1. Check that for the process creator a (correct) e-mail address has been configured:

    Log on as a user with administrator rights and go to Start of the navigation pathUser Administration Next navigation step SearchEnd of the navigation path

  2. Check that for the workflow system a legitimate e-mail address has been configured:

    1. Log on as a user with administrator rights and go to Start of the navigation pathSystem Administration Next navigation step System Configuration Next navigation step Knowledge Management Next navigation step Content Management Next navigation step Global Services Next navigation step Show Advanced Options Next navigation step Notificator ServiceEnd of the navigation path.

    2. Under Originators: notificator.EMAIL , enter a legitimate e-mail address.

  3. Check that for the workflow system an e-mail and internet channel has been configured:

    2. Edit Channels: EMAIL , for example, enter SMTP as the Type and enter the server name. Password should be empty (depending on the server requirements).

    3. Log on as a user with administrator rights and go to Start of the navigation pathSystem Administration Next navigation step System Configuration Next navigation step Knowledge Management Next navigation step Content Management Next navigation step Global Services Next navigation step Show Advanced Options Next navigation step Notificator ServiceEnd of the navigation path .
