Editing Records

Prerequisites

You have accessed the Records Browser from the Records Organizer (see Navigating to the Records Browser).

The newly created record is displayed as the symbol ( ). When you expand the overview tree, the underlying record model is displayed as the basic structure for the new record.

Procedure

The following section explains how to display a record element, how to insert elements into the record, how to duplicate nodes, how to move nodes and how to edit structure elements of the record.

Displaying an Element

Elements that have been inserted into the record are indicated using coloured symbols. To display the element, select is and choose Display in the context menu, or double-click on the element symbol.

Inserting an Element

To insert a new element in a record, you need a model node ( ) of the underlying record model. The model node specifies the element type to which the element to be inserted belongs. Proceed as follows:

  1. Select the model node where you want to insert an element, and choose . A menu that contains activities is displayed.

  2. Select an activity.

    The activities offered depend on the element type assigned to the model node. The procedure for inserting an element differs according to the element type and activity selected.

    The element appears in the record after the activity has been executed. The symbol of the model node is replaced by the symbol of the element.

Duplicating a Node

In the record model, you have defined whether a node may be generated more than once in a record. The maximum number of instances of a node is displayed in the overview tree of the record model, in the column Number of Instances.

You can duplicate a model node or a structure node by positioning the cursor on the node above it in the hierarchy and choosing Create.

Moving a Node Using Drag & Drop

You can move nodes within the record using Drag & Drop. To move a node, select it and, holding the mouse button down, pull it to another node. The following restrictions apply:

  • The node you are moving must already contain an element, and must be in the lowest hierarchy level of the overview tree.

  • The target node must accept the element type of the element that you are moving.

Editing Structure Elements

Structure elements are elements in the record, which in turn contain elements themselves (such as subrecords or cases). You can use the user-specific settings to define whether or not structure elements can be expanded within the parent record. If you have defined that structure elements can be expanded, you can also edit the elements of the structure element within the parent record. To do so, choose Start of the navigation pathOpen Structure Element to Change itEnd of the navigation path. To leave editing, choose Start of the navigation pathClose Structure ElementEnd of the navigation path.

The following applies for editing:

You can insert (using Drag & Drop) and delete existing elements. However, you cannot create elements or rename existing ones. Which editing activities are permitted depends on the Service Provider for the structure element in question.

To acquire all editing options, you can also edit the structure element in a separate Records Browser window. To do, choose Start of the navigation pathActivities Next navigation step ChangeEnd of the navigation path in the context menu for the structure element: The structure element display screen appears. To return to the parent record, simply navigate back.
