Features

You use this iView to assign one or more persons to a project. The following overview contains the key steps you carry out in this process.

Select Project

To restrict the selection of projects for the current project task, you can call different project lists:

  • You can display the list of projects that you added to your favorites beforehand.

  • Another list contains the projects that were last used.

  • The My Projects project list contains all projects you created and for which you are responsible.

  • The Substitutes list displays all objects for which you are acting as a substitute.

    Select the project you want to assign one or more persons to.

Edit Role and Assignment

The list contains the roles that are assigned to the chosen project.

Edit Role

You first select the role whose staffing you want to check and possibly edit.

  • The role data displayed by the system gives you a quick overview of the required resources and the current staffing status (for example, partially staffed ).

  • You can add another role, edit the detail data for a role, or delete a role.

    Assign Persons

    You then check the persons assigned to the role or edit the assignments. Select the role and choose Assign Persons . The system displays a list of the assigned persons.

  • If you want to edit an assignment, select the person and choose Change . The system displays the detail data for the assignment. For example, you can change the required resource to reflect the current project situation.

  • If you want to staff the role with an additional person, choose Add .To start the resource search , choose Find .You can use different selection criteria to search for persons. You can select a person in the results list. Once you have edited the detail data of the assignment, choose Assign . The system copies the person to the list of assigned persons.

    Undo

    You can check the changes you made in this session for the role and the assigned persons in the Change column (for example, Created , Changed ). If you want to undo a change made to a role or person, select the object and choose Undo Changes or Undo All Changes .

    Once you have finished editing the persons, choose Continue . The list of assigned roles reappears. For each role, the system displays in the Change column if and how the role was edited in your work process, for example, changed .

    Once you have completed the assignments, choose Review .

Review and Save

You check the data you entered, for example, the assigned persons.

  • If you want to edit any data again, choose Edit Role and Assignment . You can edit the roles or the assigned persons again.

  • If you want to save all the data, choose Save .

    The system saves all data to the database and branches to the final step Completed . You can select a new project and edit its assigned roles and persons only once you have saved this data.

    If an error occurs, the system issues an error message and no data is saved to the database.

Prerequisites

The role type dictates whether a role can be created, displayed, or edited in this self-service. Roles that are to be used for distribution due to their role type are not taken into account in this self-service.

Therefore, check the settings for the role type in the cProjects system in Customizing for Collaboration Projects under Start of the navigation path Resource Management Next navigation step Basic Settings for Project Roles Next navigation step Define Project Role Types. End of the navigation path The Distribution indicator must not be set.

Integration

In this self-service you can only assign internal persons to a role.
