Modify and Manage Roles

Within the Roles page, you can modify your custom SAP Analytics Cloud roles by editing the description, role configuration settings, or deleting it. In addition, manage the results of your roles table by selecting the columns, sort option, or filter settings.

Overview of Roles Page

  1. Filter By panel.

    Select from the list of filter settings and view the relevant role information. See Roles Page Filter Settings.

  2. Results. Grid table view of roles according to the selected filters and columns.

  3. Search bar. Easily search keywords and find specific roles.

  4. Create, manage, and modify role information with the following actions.

    Create Role

    Create a new role in the SAP Analytics Cloud tenant. You can create a custom role based on a template.

    Delete Roles

    Delete custom roles.

    Option to switch to the old Roles page.

    Sort

    Select the order you want to sort the roles grid table results.

    Choose (Sort) from the toolbar to sort the role data in the table. You can sort the order of the data by ascending or descending order by the selected column or best match.

    Sort order:
    • Ascending

    • Descending

    Sort by:
    • Best Match on Top

    • License Type

    • Role Description

    • Role Name

    Select Columns

    Select the columns of the roles grid table.

    Choose (Select Columns) to modify the columns shown in the Roles table. Use the arrows to change the order of the table columns. Select a column name and select (Move column up) or (Move column down).

    • License Type

    • Users

    • Teams

Edit Description of Custom Role

Context

You can update the description of a custom role at any time.

Procedure

  1. From the side navigation, go to Start of the navigation path Security Next navigation step  RolesEnd of the navigation path.
  2. Select a custom role that you want to edit.
  3. In the permissions page, select (Edit Role).
  4. In the Edit Role dialog enter a new description for the role.

    Make sure the description includes only letters, numbers, spaces, and underscores.

  5. Select Start of the navigation path(Save) Next navigation step SaveEnd of the navigation path in the permissions page toolbar.

Results

The description of the custom role is updated. To see the changed role description, users may need to refresh their page.

Edit the Role Configuration

Context

You have the option to edit the role configuration settings of a custom role or standard SAP Analytics Cloud role to set it as the default role, grant full data access, or enable self-service.

Procedure

  1. From the side navigation, go to Start of the navigation path Security Next navigation step  RolesEnd of the navigation path.
  2. Select a role that you want to update.
  3. In the permissions page, select (Role Configuration).
  4. In the Role Configuration dialog, select the settings you want to activate. For more information, see Create Roles.
    • Use as Default Role: Assigns the role to users if no other role was assigned to them.

    • Full Data Access: Grants access to data of all models regardless of how the data access for the role was defined.

    • Enable Self-Service: The user is able to request roles for themselves with the Request Roles dialog. You can choose whether the manager or other user has to approve the role assignment request.

  5. Choose OK.
  6. Select Start of the navigation path(Save) Next navigation step SaveEnd of the navigation path

Results

Your edits to the role configuration are saved.

Delete Custom Roles

Context

You can delete more than one custom role at a time.

Procedure

  1. From the side navigation, go to Start of the navigation path Security Next navigation step  RolesEnd of the navigation path.
  2. Select the check boxes of the custom roles that you want to delete.
  3. Select (Delete) in the toolbar.
  4. In the warning dialog, select Delete.

Results

The selected custom roles are deleted. All teams and users that were assigned the custom role will lose access to certain features depending on the defined role permissions.

Consider the following information when modifying and managing roles.

Permissions

To create, modify, and manage roles, you must have the following permissions:

  • System administrators with the Read permission, plus one of the Create, Update, or Delete permissions on the Role privilege.

Roles Page Filter Settings

In the Roles page, choose (Show filters) to open the Filter By panel and see more filter options on the role information you want to display. You can select Show More or Show All Filters to open the Filter Settings dialog.

You can apply filters to the following column attributes to change the table information shown on your Roles page.

Roles Page Filter Settings

Default Role

Select default role or not default role.

License Type

Select one or more licenses associated with the roles. Choose from the following SAP Analytics Cloud license types:

  • Business Intelligence

  • Planning Professional

  • Planning Standard

  • Analytics Hub

Role Description

Select one or more role descriptions.

Role Name

Select one or more role names.

Role Type

Select custom role or standard role.

Self-Service

Select not enabled, to see the roles that don't have self-service enabled.

Team Name

Select the teams the role is assigned to.

User ID

Search for the users that are assigned the role by their unique ID.
