New and Changed Event Types

To give you more flexibility in your planning workflows, we've introduced new task types and made some changes to existing event types.

Composite Tasks

We've introduced a new task type called the composite task. It can have one or more assignees and lets you add reviewers in review rounds. The review step is optional.

Note

In a composite task, you won't be able to add the same person as assignee and reviewer anymore, like you could do for previous general tasks.

To change settings and adapt your workflow, you can convert a composite task to a process:
  • As the owner of a composite task, you can convert it to a process to get more flexibility. This results in a general task and one or more review tasks – one review task for each review round, grouped by a parent process. You can then adapt the settings of the general task and the review tasks, for example, by changing the work files or the context.

    If the composite task doesn't have a reviewer, it is converted into a process that contains a general task – no review task is created. If needed, you can add processes or composite tasks beneath the parent process.

  • As the assignee of a composite task, you can delegate the task to other assignees by converting it into a process. This results in a process and one or more review tasks – one review task for each review round, grouped by a parent process. You can create additional processes or composite tasks beneath the child process that is assigned to you.

Note

Once it's converted, a composite task is split up. You can't undo the conversion.

General Tasks

General tasks have new meaning and behavior:

  • In general tasks, you can now assign one or more assignees, but no reviewers. You can use it for tasks that don't need a review step.

  • You don't create general tasks from the menu anymore. They only show up when you convert a composite task to a process, as a child event of the process.

  • To add reviewers to a general task, you can convert it to a composite task.

Review Tasks

What you should know about review tasks:

  • Review tasks are automatically created when you convert a composite task that has one or more reviewers to a process. Each review round of the original composite task will be converted into a separate review task.

  • Unlike composite tasks, you can't create review tasks on their own.

  • The reviewers are displayed as assignees of the review task, and can start their work once the general task is submitted by one of its assignees. Because the review task has a dependency on the general task, it's activated automatically once the general task is accomplished.

Processes

Processes don't have review steps anymore. Instead, use a composite task.

New Features

Workflow Changes for Assignees and Reviewers
  • Multiple assignees on the same task now work and submit collaboratively: Only one assignee needs to submit the task, and it will be accomplished for everyone.

    Note

    This applies to all tasks with assignees, but not for input tasks.

  • If a composite task has multiple reviewers, the review is accomplished once one of the reviewers of each review round has submitted.

Duration and Time Distribution
  • In composite tasks, you can define the time distribution between assignees and reviewers: In the Time section of the Details panel, you can use a slider to adjust the default time distribution (75% for assignees, 25% for reviewers).

  • When changing the duration of a composite task, the time settings for the assignment and the reviews change according to their current ratio.

  • When changing the duration of a process, you can now decide if you want to change the duration of its child events as well, or just the process itself.

Recurrence Settings

As much as possible, migrated tasks retain your recurrence settings and keep all occurrences together in a series:

  • If you had a recurring general task with a single assignee, then a composite task is created with the same recurrence settings. If some of the occurrences had a different number of reviewers, then these occurrences will be migrated to a composite task.

  • If you had a recurring general task with multiple assignees, then a process (with composite tasks for each assignee) is created with the same recurrence settings.

However, there are cases where occurrences of the series now require a different task type:
  • If you had a recurring general task with a single assignee and there are occurrences with multiple assignees, then those will be removed from the series as part of the migration. They will be migrated to single composite tasks for each assignee grouped by a process. The series will be migrated to a separate composite task.

    Note

    A process created in this way during migration lets you define recurrence. You can change the time settings in this process, not in the child tasks.

    Note that you can't define recurrence for processes that you create. This is only possible for processes that are created by the migration.

  • If you had a recurring general task with multiple assignees and there are occurrences with single or no assignees, then those will be removed from the series as part of the migration. They will be migrated to a composite task. The series will be migrated to a process with composite tasks for each assignee.

Frequently Asked Questions

Find answers to questions you might have about the migration.

My general task has been changed to a process. Why?

Your general task had multiple assignees, and each assignee could submit their own task. From now on, tasks can only be submitted once. This is why your task has been converted into a process with one child task for each assignee. The child tasks of the process are composite tasks.

My general task has been migrated to a composite task. What about the time distribution between assignee and reviewers?

By default, each review round will receive one minute and the remaining time is left for the assignee. If you need to change the time distribution in the composite task, you can use the new slider in the Time section of the Details panel.

In my general task the assignees couldn't see each other. How is this handled now?

In your general task you've deselected the Assignee can see other assignees checkbox. The general task with multiple assignees is now converted to a process with one child task for each assignee. The assignees can only see their tasks, they don't see the parent process. This way they won't be able to see each other's assignment.

You, as the owner of the previous general task, are now the owner of the parent process. If you've shared the previous general task with others, they can also see the parent process.

I used to have general tasks with the same person as assignee and reviewer. What about these tasks?

This is no longer possible. Your general task is now converted into a composite task, where you need to define different people as the assignee and as the reviewer. If you have more review rounds, you can assign one reviewer for each review round.

My process had a reviewer. Processes don't have reviewers anymore, so where can I change the reviewer?
A review task is added to the process for each reviewer that was assigned to your process. You can change the reviewer in these new dependent review tasks of the process. The reviewer is set as the assignee of the review task.
Note

You can't define review tasks as child tasks for processes that you create. This is only possible for processes that are created by the migration.

My process had a reviewer and now has separate review tasks for each reviewer. Where can I change the time settings now?

You can change the start and the due date of the process in the Details panel of the process. You can change the due dates of the reviews in the Details panel of the review tasks.

My data locking task has been changed to a process. Why?

Your data locking task had multiple assignees. Each assignee could submit their own task. From now on tasks can only be submitted once. This is why your task has been converted into a process with one data locking task for each assignee.

Are there any changes for recurring events?

Yes. If you use recurring events, your default settings will be applied to the series. However, there are cases where individual occurrences will need a different task type. For details, see Recurrence Settings.

The Reviewer filter disappeared. Where can I find it?

You can now filter your events by choosing Start of the navigation pathFilter Next navigation step My Roles Next navigation step Assignee/ReviewerEnd of the navigation path. There's no separate entry for reviewers anymore, because the reviewers are the assignees of review tasks. You'll see all events that you're assigned to as assignee or as reviewer.
