Schedule Publication Roles and Permissions

To be able to schedule a publication, you must have the appropriate permission. As an administrator, you can modify the scheduling settings.

You can create a schedule:
  • If you are a BI Admin or an Admin. By default, these roles come with the Schedule Publication permission.

  • If the Schedule Publication permission has been assigned to a custom role created.

  • If you have a Copy or Edit permission to a story once the Schedule Publication permission is given.

Caution

When a user is deleted, all schedules created and owned by the user will be deleted.

Note

When you schedule a story, the output is generated based on the scheduler's data authorization.

Scheduling-Related Permission

Permission Description
Create To create a schedule and view or edit the schedule you have created.
Manage To view and modify any schedule that is available in a tenant.
Note
As a prerequisite, the user should have Manage permission on Public and Private files.

Scheduling Publications Based on Live Connections

While scheduling stories based on live connections, make sure that the following settings are made:

  1. Enable the Allow live data to leave my network switch from Start of the navigation pathSystem Next navigation step Administration Next navigation step Datasource ConfigurationEnd of the navigation path. For details, see Administration.

  2. Edit the Connections set up for the corresponding story and from the Advanced Features section, select the Let users set up a schedule for publishing stories option.

  • You can schedule a story based on the following data sources:
    • SAP BW

    • SAP HANA

    • SAP HANA 2.0

    • SAP HANA Cloud

Scheduling Publication Based on Imported Data Sources

Note

Typically, your schedule will run within 4 to 6 hours. For a story based on live data, the time to run a schedule varies based on the complexity of the query and the time it takes to run the query on the remote system. If you do not receive the publications within 24 hours, please contact SAP Product Support.

Assigning Schedule Publication Permission

To view or assign the schedule publication permission to a role, follow the steps below:

  1. From the (Main Menu), select Start of the navigation path Security Next navigation step  RolesEnd of the navigation path.

  2. Select the role to which you want to assign the scheduling permission.

  3. Navigate to the Schedule Publication permission or type in Schedule Publication in the search bar at the top right corner.

  4. Select the required permission and click (Save).

You can also assign Schedule Publication permission to custom roles. To create custom roles, see Creating Custom Roles.

Modifying Schedule Publication Settings

From the (Main Menu) Start of the navigation pathSystem Next navigation step Administration Next navigation step End of the navigation path, you can enable or disable the scheduling option completely, or enable or disable the option of scheduling and sharing publications with non-SAP Analytics Cloud users.

Note

Schedules of stories based on live connections will always run with the user credentials corresponding to the live connection.
