Configure Standard Tasks for Workflow in the Project System

In the Project System, the following standard tasks are available for workflow:

If you change dates, quantities, the customer, the vendor or an address in a network for material components and externally processed activities for which a purchase order already exists, a workflow is automatically triggered.
The person responsible in purchasing receives a mail message about the required changes and can change the purchase order(s) directly from the mail.
A workflow for confirmation can be created from the information system. The pool of confirmations can be sent to different locations, for example to a specific user or work center.

If the duration or the work exceeds the predefined values in the confirmation, a workflow is automatically triggered: The MRP controller receives a work item by mail and can display the confirmation or the network from there, or correspond with the author of the mail.

If a configuration change is made in a sales order and, due to a conflict that has occured, the network is given the Manual adjustment necessary status, a workflow with template WS20000265 is started and has the following process flow:
A dispatcher determines the employee in project planning who is to make the manual adjustment. He takes this decision after the system has displayed the network. The dispatcher is determined via a role that evaluates the network data and the structure of the company. After this, the dispatcher can still enter a text for the the agent he/she determines. The agent then sees the text and immediately start to edit the network. The workflow finishes with the successful conclusion of the change comparison. It is also possible to use the workflow template without a dispatcher.

Standard task 00200040: Change network

This task is an example of the milestone function start workflow task and has been predefined by SAP.

The transaction Change network is called up by this standard task.

Notes

Do not use the milestone function Start workflow task to create new networks.

Technical background: The system only creates a number for the network once you have saved it. This temporary number, which is given to the network when it is created, is also used to trigger a workflow task.

Activities

1. Assign the standard tasks to the authorized agents.
2. Activate the event link between the standard task and the corresponding event.
3. In the paramters for the network type, determine whether workflows can be started.
4. In the parameters for confirmation, determine whether a workflow is to be triggered in case of a deviation in duration or work.
