To extract information that is managed in Retention Warehouse for evaluation in an SAP NetWeaver BW system (BW system), you need to establish a connection between the Retention Warehouse system (RW system) and the BW system. You also need to make additional settings in the BW system.

Prerequisites

You have provided a separate BW system for BW reporting in the ILM Retention Warehouse. We recommend using separate BW systems to report live data and legacy data from the ILM Retention Warehouse.

Procedure

1. Connecting to the BW System
  1. Start transaction SM59 in the RW system.

  2. Create the following RFC destinations (connections):

    • Connection between the RW system and the BW system

      You need this connection to extract the legacy data to the BW system.

    • Connections for the system integration of launchpad applications

      You need these connections for reporting with launchpads. To call the queries in the Portal with a launchpad or in SAP NetWeaver Business Client (NWBC), you need to enter the connection to the BW system or to the RW system as a system alias. To do this, you need the following connections:

      • BW reporting: Connection to BW ABAP or BW Java (suggested connection name: SAP_ILM_BW)

      • Local reporting Connection to the RW system (connection name: SAP_ILM)

2. Making Configuration Settings for the Extraction of Data from the RW System to the BW System
1. Calling Customizing Settings for Retention Warehouse
  1. Open ILM Retention Warehouse Cockpit for administrators.

    For more information, see Assigning Authorizations for SAP NetWeaver ILM Functions.

  2. Choose Start of the navigation path Services for Settings Next navigation step Retention Warehouse Next navigation step SAP NetWeaver Next navigation step Application Server Next navigation step Basis Services Next navigation step Information Lifecycle Management Next navigation step Retention Warehouse End of the navigation path.

    In the system, you can also use transaction IWP_IMG to call the settings.

2. Reusing InfoObjects for a BW System on SAP HANA

In a BW system on SAP HANA, you can generate optimized queries that can be run on the generated InfoObjects. You use either a standard InfoProvider or an InfoProvider provided by the user to copy the queries to the generated InfoProvider. The queries can be copied only if the structure of the reference InfoProvider and the generated InfoProvider are similar. To have a similarly structured InfoProvider, you can opt to reuse InfoObjects.

To reuse InfoObjects, under Retention Warehouse, choose Start of the navigation path Settings for Audit Package Extraction to BW Next navigation step Audit-Area-Dependent Settings Next navigation step Assign InfoObjects for reuse End of the navigation path.

3. Optional: Creating Virtual Providers for Querying DSO

You cannot directly query a DSO generated through audit package extraction. You need to create virtual providers that correspond to the generated DSO using the report RIWP_VPROV_CREATE. These virtual providers help in querying.

4. Registering the Connection to the BW System
  1. Choose Start of the navigation path Retention Warehouse Next navigation step Generic Settings Next navigation step Configure Data Extraction to BW End of the navigation path.

  2. Enter the RFC destination (ABAP connection) to the BW system.

4. Making the ILM Namespace Available for Generated Objects

To generate InfoObjects and related DDIC objects in the BW system based on the data in the Retention Warehouse, you need to specify the relevant namespaces. To do so, activate the namespace prefixes delivered by SAP. You can also define and activate your own entries.

The complete name (key) of an InfoObject or DDIC object generated in the BW system consists of the following:

<Namespace Prefix><Object Type Abbreviation><Sequential Number>

Follow the procedure below:

  1. Start transaction RSNSPACE in the BW system.

  2. In the table containing BW Partner Namespaces, activate the following namespace prefixes delivered by SAP:

    Namespace for InfoObjects

    Generation Namespace for DDIC Objects

    Comment

    /ILM/

    /1IL/

    /RWC/

    /1RW/

    Only if you use predefined BI Content

  3. Optional: If necessary, create your own namespace prefixes and activate them.

    Note the following special features:

    • The name (key) of an object generated in the BW system is not longer than 13 characters.

    • The system assigns to each generated InfoObject or DDIC object a cross-namespace sequential number after the namespace prefix and the object type abbreviation to identify the object in the entire BW system.

      Caution Caution

      Ensure that the number of characters for the sequential number is enough for the complete number of objects to be generated. In addition to the namespace prefix (we recommend a maximum of 5 characters including the slashes, for example /ILM/) and the object type abbreviation, which has a maximum of 2 characters, at least 6 characters should be available for the sequential number.

      Note Note

      If you have not generated any InfoObjects in an ILM namespace in the BW system, you can change the namespace prefixes. Otherwise the change will result in loss of data. The system can no longer access objects that were generated in the old namespace.

4. Checking the Delivered Customizing Settings

Go to Retention Warehouse and check the current settings for the extraction of data to the BW system and make adjustments if necessary.

3. Connecting the System to Launchpad Queries
  1. In Customizing, under Start of the navigation path Retention Warehouse Next navigation step Launchpad Settings End of the navigation path, choose the settings for each launchpad (for audit package administration, tax auditing, and product liability).

  2. Expand the displayed structure and enter the name of the HTTP connection to the BW system for each BW query (subnode in the structure) under System Alias.

  3. In a BW system on SAP HANA, to call up the optimized BW queries in the Portal with a Launchpad or in NWBC, you must specify the following:

    1. Select the application type as Web Dynpro ABAP.

    2. Under Application Parameters, enter sap in the Namespace field and iwp_query_interface_appl in the Application field.

    3. Select the system alias SAP_LocalSystem.

    4. Select the Force Local System if NWBC checkbox.

    5. Select Show Advanced (Optional) Parameters.

    6. Under Application Related Parameters, enter the query name in the Target App. Parameters field. For example, &query=/RWC/Q_BSID_01.

4. Optional: Transferring and Activating Predefined BI Content
  1. Ensure that the Business Functions that are relevant for RW are active in the application system. (If BW runs on a separate system, the business functions also need to be active in the BW system.)

  2. In the BW system, start Data Warehousing Workbench (transaction RSOR) to transfer and activate the BI Content delivered by SAP.

  3. Ensure that the navigation window for Data Warehousing Workbench is displayed.

  4. In the navigation window, choose Object Types.

1. Transferring and Activating InfoAreas
  1. Under All Objects by Type, expand the InfoArea node.

  2. Under InfoArea, choose Select Objects.

  3. Select all InfoAreas that you want to transfer. SAP supplies the following InfoAreas:

    • /RWC/ILM (Information Lifecycle Management)

    • /RWC/ILM_COMMON (Common Objects)

    • /RWC/ILM_PRODUCT_LIABILITY (Product Liability)

    • /RWC/ILM_TAX (Tax Audit)

  4. Choose Transfer Selections.

    The system displays the transferred objects under InfoArea.

    The corresponding detailed data is displayed on the right-hand side of the screen. If the detailed data is missing, drag each object displayed under InfoArea to the right-hand side of the screen.

  5. Make sure that you have selected the Install checkbox for each InfoArea (on the right-hand side of the screen) that you want to transfer.

  6. In the BW system, activate the InfoAreas supplied by SAP as follows:

    1. Optional: To check whether you can transfer without errors, on the application toolbar on the right-hand side of the screen, choose Start of the navigation path Install Next navigation step Simulate Installation End of the navigation path.

    2. On the application toolbar on the right-hand side of the screen, choose Start of the navigation path Install Next navigation step Install in Background End of the navigation path.

      We recommend that you install in the background because the procedure can be very time consuming.

      You can see that the system has completed the transfer when the Active Version Available column on the right-hand side of the screen contains a green symbol.

2. Transferring and Activating Queries
  1. Under All Objects by Type, expand the Query Elements node.

  2. Choose Query Elements Start of the navigation path Query Next navigation step Select Objects End of the navigation path.

  3. Select all of the query elements that you want to transfer. The query elements supplied by SAP are contained in the list of available objects under Information Lifecycle Management.

  4. Choose Transfer Selections.

    The system displays the transferred objects under Query Elements.

    The corresponding detailed data is displayed on the right-hand side of the screen. If the detailed data is missing, drag each object displayed under Query Elements to the right-hand side of the screen.

  5. Make sure that you have selected the Install checkbox for each query element that you want to transfer (on the right-hand side of the screen).

  6. In the BW system, activate the query elements supplied by SAP as follows:

    1. Optional: To check whether you can transfer without errors, on the application toolbar on the right-hand side of the screen, choose Start of the navigation path Install Next navigation step Simulate Installation End of the navigation path.

    2. On the application toolbar on the right-hand side of the screen, choose Start of the navigation path Install Next navigation step Install in Background End of the navigation path.

      We recommend that you install in the background because the procedure can be very time consuming.

      You can see that the system has completed the transfer successfully when the Active Version Available column on the right-hand side of the screen contains a green symbol.

3. Making ILM Delivered Queries Available in BW on SAP HANA for Optimization
  1. Deselect the Test Mode checkbox and run the RIWP_DEFINE_VPROV_QUERY_COPY report in production mode.

  2. After running this report, whenever you try to generate an audit package for which the Generate Optimized Content checkbox is selected, by default the standard queries and the queries built on the standard virtual providers delivered by ILM are proposed for optimization.
