In the deletion phase of data archiving, the system automatically fills the relevant archive infostructures while deleting archived data from the database. You use the table entries in archive infostructures for indexing the data stored in the file system or in the ILM store. Hence, the archive infostructures are necessary for access to data. They are also a prerequisite for the use of other functions that access data.

If necessary, you can create, activate, and fill additional archive infostructures for archiving objects.

Archive Infostructures for Retention Warehouse (RW)

If you want to use SAP NetWeaver ILM in a Retention Warehouse system for managing legacy data of decommissioned systems, you need to activate the archive infostructure for the ILM application scenario Retention Warehouse (RM). The following situations are possible:

  • You have not yet transferred any legacy data to the Retention Warehouse system.

    Therefore, the system was not automatically recognized as Retention Warehouse. When activating the infostructure, you must specify explicitly that the archive infostructure is intended for the ILM application scenario Retention Warehouse (RW).

  • You have already transferred legacy data to the Retention Warehouse system.

    The system is automatically set to Retention Warehouse mode. By activating the archive infostructure, you confirm that it is intended for the ILM application scenario Retention Warehouse.

It is necessary to divide the archive infostructures according to ILM application scenarios because the archive infostructures for a Retention Warehouse also contain the additional fields SAP Original System ID and Client of Original System.

You can change the assignment of an archive infostructure to an ILM application scenario as needed. To do so, deactivate the archive infostructure and then activate it with the new assignment.

To display the batch where-used list for data from the legacy system, you need to fill the relevant archive infostructures delivered by SAP with the corresponding data.

Procedure

Create, Activate, and Fill Archive Infostructures
  1. Call transaction SARI (central administration of archive infostructures) in the SAP system.

  2. Provide the archive infostructure for the required archiving object as follows:

    1. Create the archive infostructure in the Archive Retrieval Configurator (Customizing pushbutton).

    2. Activate the archive infostructure for the ILM application scenario Retention Warehouse (RW).

    3. Fill the index table in status administration for archive infostructures (Status pushbutton).

Change the Assignment of Archive Infostructures to ILM Application Scenarios (from RM to RW)

If an archive infostructure has already (mistakenly) been activated and filled for Retention Management but is needed for Retention Warehouse, you can change the assignment as follows:

  1. Deactivate the archive infostructure in the central administration of archive infostructures (transaction SARI). To do so, select the archive infostructure under Customizing, then choose Start of the navigation path Archive Infostructure Next navigation step Deactivate End of the navigation path.

  2. Delete the index table. To do so, on the initial screen of the central administration of archive infostructures, choose Start of the navigation path Utilities Next navigation step Delete Tables End of the navigation path.

  3. Activate the archive infostructure for Retention Warehouse.

    As a result of the change, the current index table for the archive infostructure remains available for read access. The system creates a new index table for Retention Warehouse. The new table also contains the fields Original System ID and Client of Original System.

Fill Archive Infostructures for Batch Where-Used List and Pick-Up List

In the Retention Warehouse system, you can retrieve data from legacy systems using the following functions:

  • Display batch where-used list (transaction MB56)

  • Pick-up list for batch where-used list (transaction MB5C)

The new table also contains the fields Original System ID and Client of Original System. SAP delivers archive infostructures to the ILM application scenario Retention Warehouse for this purpose. As a prerequisite for using the mentioned functions, you need to ensure that the following archive infostructures are filled with data from the legacy system archives.

Fill Archive Infostructures for Archive File Conversion

As a prerequisite for archive file conversion, activate the following archive infostructures of the archiving object SN_META created while using CDE:

  • SAP_SN_META_01

  • SAP_SN_META_02

As a prerequisite for archive file conversion, activate the following archive infostructures of the archiving object SN_META_G created while using the Generic CDE.

  • SAP_SN_METAG_01

  • SAP_SN_METAG_02

The archive infostructures for metadata are required for archive file conversion. They should, however, be active before legacy data transfer occurs so that the system can fill them automatically.
