Use

Meeting rooms provide virtual working environments for managing and handling meetings.
Meetings rooms are standard rooms that you can create based on SAP room templates (or copies of these room templates). The scope of the standard rooms results from the combination of the integrated standard pages and iViews. However, meeting rooms contains additional pages and iViews that are tailored to the specific purpose of the rooms.

Prerequisites

·        After installing Collaboration, you have completed the basic configuration.

·        For handling series of meeting with calendar synchronization, you have configured the groupware accordingly.  

Note

Since certain meeting room functions, for example, delegating responsibility for a meeting, require communication by e-mail, you should have completely configured the groupware, as described in the administration guide.

SAP delivers two room templates for creating meeting rooms. This results in the following possible uses for meeting rooms.

Room template
Rooms that are based on the SAP room template SAP_MEETING_ ROOM are suitable for planning and holding series of meetings.

Groupware integration
The meeting appointments are synchronized in the groupware calendars of the meeting participants (room members) – for example, Microsoft Outlook.

Special features
In a room, the respective current meeting is displayed. Only when you close the current meeting does the system display the next meeting.
The system uses the planned meeting date to determine the next meeting. Therefore, you can create one-off meetings in addition to the series, if necessary. These are displayed in the meeting room in chronological order.

Room template
Rooms that are based on the SAP room template SAP_MEETING_ROOM_EXTENDED are suitable for planning and holding individual meetings.

Groupware integration
In these rooms, there is no synchronization of meeting appointments in the groupware calendars of the meeting participants (room members).

Special features

You can handle any number of individual meetings in parallel in rooms of this type. You can start the meetings created at any time, irrespective of the planned meeting date.
When planning meetings, you can manage topics that are copied to meetings as required.
