Process documentation Loading of Master Data from Connected SAP Systems Locate the document in its SAP Library structure

Purpose

With this process you can transfer master data and hierarchies from connected SAP systems to the consolidation system (SEM-BCS). The process focuses on the loading of organizational units and combinations of consolidation units.

Loading of Master Data and Hierarchies

You load the master data and hierarchies from individual InfoObjects of SAP Business Information Warehouse (SAP BW). You need to distinguish between the following two cases:

·       You load the master data and hierarchies using virtual InfoObjects from the SAP source system (mySAP ERP).

The SAP source system makes the master data and hierarchies available in a Structure linkDataSource , which you assign to an Structure linkInfoSource in the administrator workbench in SAP BW. You transfer the master data and hierarchies to the consolidation system using the consolidation function Load from Data Stream.

Note

The procedure for loading hierarchies will change in the next Release.

·       You load the master data and hierarchies from InfoObjects that are already present in SAP BW.

You transfer the master data and hierarchies to the consolidation system using the Load from Data Stream function.

Loading of Combinations of Consolidation Units

You load the combinations of consolidation units, for example combinations of profit centers and companies, with load from data stream from an Structure linkInfoProvider (InfoCube or ODS object) from the SAP BW. The consolidation system determines the valid combinations from the transaction data.

You can also load the combinations direct from a DataSource in the SAP source system.

Prerequisites

In the consolidation workbench, you have made the Customizing settings for the Data Basis and for the Consolidation Area in which you want to use the master data and hierarchies. You have created a Source Data Basis and specified it in the data basis.

Depending on the sources from where you want to transfer the data, the following prerequisites must be met:

·       If you transfer master data and hierarchies directly from an SAP source system:

The DataSources, which provide the attributes and texts for the master data, support direct access to the data. You have set the indicator Direct Access in DataSource maintenance of the SAP source system.

·       If you transfer master data and hierarchies of InfoObjects from SAP BW:

The master data and hierarchies exist in the InfoObjects.

·       If you transfer combinations of consolidation units from an InfoProvider (InfoCube or ODS object):

The transaction data that the system uses to determine the combinations exists in the InfoProvider. For example, this means you must have uploaded the data from Enterprise Controlling (EC-CS/EC-PCA) using a BW upload to the InfoProvider.

Process Flow

This section explains the process flow for transferring master data and hierarchies from virtual InfoObjects. The figure outlines the components for which you make Customizing settings.

You activate the DataSource of the SAP source system in the administrator workbench. You assign an InfoSource to the DataSource, and link the DataSource fields to the InfoObjects of the InfoSource. See section A. Customizing Settings in the Administrator Workbench.

In the consolidation workbench, create method Load from Data Stream for each object that you want to transfer. This is where you define the mapping rules and optional source and target selections for the data collection from the InfoObject to the consolidation system. See section B. Customizing Settings in the Consolidation Workbench.

When you execute the methods in the consolidation workbench for loading from the data stream, the consolidation system loads the master data and hierarchies from the DataSource in the SAP source system to the internal data structures in consolidation. See section C. Execution in the Consolidation Workbench.

A. Customizing Settings in the Administrator Workbench

      1.      If you use a DataSource from SAP Business Content, transfer this into the active version (see Structure linkTransferring Business Content DataSources into Active Version).

Otherwise create a DataSource in the SAP source system. For additional information, see Structure linkData Extraction from SAP Source Systems.

The system then automatically uploads metadata. This replicates the DataSource in SAP BW (see Structure linkMetadata Upload for SAP Systems).

      2.      You create the Structure linkInfoObjects that transfer the master data and hierarchies from the SAP source system, and you define the InfoObjects as containers of virtual master data.

      3.      You create an InfoSource and within it assign the DataSource of the SAP source system. You assign the InfoObjects you have already created to the DataSource fields (see Structure linkCreating InfoSources).

      4.      You create an InfoObject catalog for characteristics, and insert the InfoObjects already created (see Structure linkCreating InfoObject Catalogs).

Note

When you load master data and hierarchies of InfoObjects from SAP BW, create only one InfoObject catalog for characteristics in the Administrator Workbench, containing those InfoObjects from which you want to load.

In the consolidation workbench, make the same settings as for loading from the SAP source systems.

B. Customizing Settings in the Consolidation Workbench

      1.      In the source data basis, enter the InfoObject catalog for characteristics.

If you are using an InfoProvider, for example for transferring combinations of profit centers and companies, enter these in the source data basis.

      2.      For every characteristic that you want to transfer, and also for the combinations of consolidation units, create a method for loading from the data stream. You select the data type, the characteristic (should several characteristics exist for the data type), and enter the source data.

For the data types consolidation units, consolidation groups and other master data (with the characteristic consolidation unit combination) you make additional settings on the Settings tab page for loading master data and hierarchies. You can load master data, hierarchies or hierarchy relationship attributes (such as accounting technique) as appropriate. You can also configure the settings so that the system loads the master data from text nodes in the hierarchy, for instance the master data of profit center groups. Depending on the options you have chosen, the related consolidation system target fields are available on the Mapping tab page.

      3.      On the Mapping tab page of the method, assign the InfoObject fields to the target fields in the consolidation system. If required, assign values to the other attributes in the consolidation system as well. For more information, see Mapping.

Should you not have assigned values in mapping, some of the attributes of the characteristics in the consolidation system are set by the system automatically when the data is transferred (see the section Result) .

Note

You can aggregate the source hierarchy for the data collection by making the relevant settings in mapping. For additional information, see Aggregation for Data Collection in the Consolidation System.

      4.      On the Selection tab page you can restrict both the source data to be transferred and the target data. For example, you can load just the profit center of a particular controlling area for the collection of profit centers, or the combination for the current fiscal year for the collection of profit centers and companies. Notes for Data Collection from EC-CS/EC-PCA

If you transfer a profit center hierarchy from Enterprise Controlling (EC-CS/EC-PCA) and have defined the combination of profit center and company as one characteristic with the role consolidation unit in the consolidation system, the system determines the consolidation unit hierarchy from the profit center hierarchy and the combinations of profit centers and companies. In this case, make the following additional settings in the consolidation workbench for the method Load from Data Stream:

·       As source data enter both the profit center InfoObject and the InfoProvider that provides the combination of profit centers and companies.

·       For the transfer of both the consolidation unit hierarchy and master data of the consolidation groups you can specify that profit centers also become consolidation groups (see End Nodes in Source Hierarchy Become Consolidation Groups).

C. Execution in the Consolidation Workbench

You execute the methods for loading from the data stream direct in the consolidation workbench.

You can do test runs by executing a method but without saving.

Result

You have transferred master data and organizational unit hierarchies from the SAP source system to the consolidation system.

Default Values for Attributes of Consolidation Units

The system has set the following attributes for consolidation units that have been newly assigned to a consolidation group (if you have not assigned any other values in mapping):

·       Year of first consolidation: current year

·       Period of first consolidation: current period

·       First consolidation at end of period: blank

·       Year of divestiture accounting: 9999

·       Period of divestiture accounting: 012

·       First consolidation at beginning of period: blank as initial value
