Definition

The following table describes the fields appear in the G/L Account Details window. To display this window choose: Financials ® Chart of Accounts ® Select the required account ® Choose the Account Details button

G/L Account Details

Field

Description/Activity

G/L Account, Account Name

Display the account code and the account name as defined in the Chart of Accounts window. These fields are not editable.

Alternative Account Name

The name defined in this field, appears in several reports (both on the screen and in the printed report) when the user selects the box Display Foreign Names, in the selection criteria window of the report.

Code for Exporting

Use this field to define an additional code for the account. This code is used only when exporting transactions from SAP Business One to another software.

Project

Choose whether to relate the account to one of the projects defined in SAP Business One.

Details

Use this field to enter additional details regarding the account.

Active

Select this box to determine a dates range in which the account is active. When the box is selected the fields From… To… and Remarks are revealed. Use the first two to define the date range and fill in the third a relevant comment. If the user tries to add a journal entry, for example in a date which exceeds the defined range, an error message containing the remark entered appears on the screen.

On Hold

Select this box to determine a dates range in which the account is not activated. When the box is selected the fields From… To… and Remarks are revealed. Use the firs two to define the date range in which the account cannot be used, and fill in the third a relevant comment. If the user tries to add a journal entry, for example, in a date within the defined range, an error message contains the remark entered appears on the screen.

Relevant to Budget

Appears only if the option Budget Initialization is selected in Administration ® System Initialization ® General Settings ® Budget Tab. Select this checkbox if you want to define budget for that account.

Exchange Rate Differences

Select this box to have the account included in the automatic creation of exchange rate differences transactions.

Rate Conversion

Select this box to have the account included in the automatic creation of rate conversion transactions.

Default VAT Group

Click This graphic is explained in the accompanying text to choose a default vat group for the account. The chosen vat group is automatically used and appears when creating a manual journal entry or service document for the selected account.

Permit other VAT Group

Select this checkbox if you want to enable the change the default vat group defined for the account, when creating a manual journal entries or service documents.

Transaction Code

Select this checkbox if you want to link to the G/L account a default transaction code. The transaction code you choose will be than linked automatically to every transaction that will be posted to this account – both manual journal entries and transactions created as a result of incoming payments and other documents. For example, if you set a transaction code to an account that represents one of your bank accounts, you can later generate a report which lists all the transactions posted to this account.

Category

These two fields support the creation of the Cash Flow report. The first one consists options Balance Sheet and Profit and Loss. Accounts from the Assets, Liabilities and Equity drawers are related by default to the Balance Sheet category. The accounts located in the rest of the drawers are linked to the Profit and Loss category. The second field lists pre-defined sub-categories, depends on the category selected in the first field 29 for balance sheet and 15 for profit and loss). Link to each account which is included in the cash flow report the required category and sub-category. You can define new sub-categories if required. Sub-categories provided by SAP Business One can not be deleted or modified. You can change the category and sub category defined for G/L account at any time.
