Use

Each template contains technical attributes and settings for the rooms or room parts that the system creates based on the template.
Administrators can create or change templates. You cannot change SAP standard templates, but you can make copies of them and modify them in line with the requirements of your enterprise. 

To launch template administration, choose Content Administration ® Collaboration Content ® Room Template Administration or Room Part Template Administration in the portal.

Prerequisites

      The worksets required have been created in the Portal Content Directory (PCD).

      You have created initial content for rooms in the form of KM content.

      The categories for room part templates have been defined (link under Related Topics in room part template administration, see also Configuration of the Room Infrastructure).

Features

You can create, copy, edit, validate, or delete templates. When creating a room, a wizard guides you through the steps in the process. Both when creating and when editing a template, the template data is arranged according to the same criteria:

General

When you create a template, all general properties listed are relevant, when you edit a template, you can change only certain properties (for example, switching between the room types restricted and private).

·         Name (mandatory when creating or copying)
Permitted characters: a-z, A-Z, 0-9, _, %, ~, -, äöüÄÖÜß, comma, space

·         Description (mandatory)
Template purpose, which appears in the list of available templates when you enter the
template administration in question.

·         Owner (optional)
You can specify the portal user who is responsible for maintaining the room template. This information has no operative function.

·         Categories – only for room part templates (optional)
You can use the categories to filter the list of available room part templates. You can assign one or more categories. In the case of room templates, you do not need to assign categories because this is done for each room.

·         Room type – only for room templates (optional)
Here you enter the default setting for the room type.
Public: Every portal user can enter the room without restriction and register himself or herself as a member.
Restricted: Users must request their registration by the room owner.
Private: The owner registers the members required and invites them to enter the room.

·         Fixed room type only for room templates (optional)
If this flag is set, every room that is based on this template receives the default room type automatically.
If this flag is not set, the user can select one of the room type options when creating a
room. The system offers the value defined in the template as the default.

·         Workset – only for room templates (mandatory)
You select the required workset from the list of all worksets that is stored in the PCD Workset folder.

·         Content object – only for room part templates (mandatory)
You select the required workset from the list of all worksets that is stored in the PCD RoomPartContent folder.

Room Roles

These roles apply only in the rooms or room parts that are created based on the template. For each page, you decide, which room roles have access.

For rooms, SAP delivers predefined room roles as examples.

There are the following functions for defining room roles for a template:

      Creating room roles

To create a new room role, you enter the name and description of the room role and add it to the list of room roles.

      Determining the administration role – only for rooms

You can define one of the room roles as the administration role. In rooms, only a room member who already has the administration role can assign this role to others.

      Determining the initial role – only for rooms

You can specify a room role as an initial role. In the rooms that are based on the template, each new member is assigned to the initial role automatically.

      Defining the page permissions for roles

In the list of room roles, you assign the corresponding page permissions to each room role.

      Deleting roles

In the list of roles, you can delete predefined or created roles using the context menu.

Parameters

You can predefine external parameters in the template, the values for which are queried when you create associated rooms or add associated room parts. The values of these parameters can also be returned by output parameters of the extensions.

The parameters added here are also available for assignment to iView properties, like the default parameters (see Assignments below).

Because the system monitors the assignment of these parameters, it is not possible to delete assigned parameters.

Extensions

For each template, you use extensions to define how data is stored, obtained, and linked in the rooms.

By means of extensions, you can access both the CM backend system and other backend systems.

SAP delivers a standard extension for rooms and room parts that allows data storage in the CM backend system (see Configuring the CM Room Extension).

If required, you can create enterprise-specific extensions.

Assignments

You can assign parameters to the iView properties that are assigned to the pages in the workset. The values of these parameters are displayed or used in the rooms or room parts.
You can use parameters to provide iViews with information from specific folders, for example, or to assign the room ID in order to provide context-specific information.

The following types of parameters are possible:

·         Generic parameters that are automatically generated by the room infrastructure (for example, the room ID).

·         Parameters that are delivered by extensions

·         External parameters (see above)

Permissions

You can restrict access to the room templates and room part templates by assigning template-specific permissions.  This does not affect general access permissions, for example, those for content administrators.

Example

A room owner is allowed to include room parts in a room, but not the room parts for which he or she does not have template-specific permission for the underlying template.    

To give a user (individual users, user groups, or roles) permission to use a template, enter the user in the permission list for the template. The permission list contains a list of users, separated by semi-colons.

Entries in the permission list have the following effect:

      Permissions for room templates

If there is at least one entry in the permission list, only the authorized users can use the template to create rooms.

      Permissions for room part templates

If there is at least one entry in the permission list, only the authorized users can add the room part to a room.

      No permissions for room templates and room part templates

If the permission list for a template is empty, the template is available to all users whose portal role(s) allow them to work with templates and rooms.
