Use

The specifications for structuring rooms and room parts are represented in the Portal Content Directory (PCD) as worksets. Each template is based on exactly one workset.

Workset

The workset for a template represents the room navigation structure with the corresponding portal pages. A workset can contain one or more pages and a page can contain one or more iViews.

The assignment of the workset to a template is one-to-one, so that changes to the assigned workset affect only the respective template. When creating a room, the system copies the pages in the workset to the room and assigns these on a one-to-one basis to the room. If you change the workset for a template, the changes affect only the rooms that you create with the new version of the template.

Example

For example, a page for tasks and a page for discussions are provided in a room, depending on the workset structure.

Role-Specific Workset Structure

In the template, you define for each room role the access permissions for individual pages in the room. Therefore, the grouping of the iViews on the pages must correspond to the role-specific work processes.

Prerequisites

      The Content Administration portal role is assigned to your portal user. In the portal, you can edit worksets by choosing Content Administration ® Portal Content.

Note

To allow you to edit worksets and pages, the Content Administration role requires write permission for the Collaboration folder com.sap.ip.collaboration in the PCD.

      You are familiar with the folder structure that is relevant for worksets for room templates and room part templates in the PCD.

       Folders for worksets for room templates

Folders (Room Templates)

Description

Portal Content ® com.sap.ip.collaboration ® Worksets

Contains all worksets and delta links to worksets that are available for generating room templates.

Note

If you want to create a new template, you create the required workset in this folder or copy it to this folder.

Portal Content ® com.sap.ip.collaboration ® Template and Part Content

Contains generic and template-specific pages that are used for both room templates and room part templates.

Pages and iViews that are used only for room part templates are stored in the RoomPartContent folder.

Portal Content ® com.sap.ip.collaboration ® TemplateWorksets

Contains all worksets that are assigned to room templates. The assignment between the workset and the template is unique.

When you create a new template or copy an existing template, the system writes the assigned workset with the associated pages and iViews to this folder. Each workset automatically receives the template name.

Changing the workset

You can change the workset or page structure. 

Caution

To avoid data loss during upgrade, you should change worksets only in the newly-created templates or the copies of SAP standard templates.

Multilingual worksets

If you require rooms in more than one language, you must translate the workset for the template in question, that is, the user interface texts on the associated pages and iViews, n this folder.

These folders are used to manage template versions, which arise from changes to external parameters in templates, for example.

They are not relevant for workset maintenance.

Portal Content ® com.sap.ip.collaboration ® Rooms

Cannot be accessed. Contains all worksets that are assigned to rooms.

The entries in this folder are generated automatically during room creation.

       Folders for worksets for room part templates

Folders (Room Part Templates)

Description

Portal Content ® com.sap.ip.collaboration ® RoomPartContent

Contains the following objects:

·         All worksets and delta links to worksets that are available for assigning to room part templates.

Note

If you want to create a new room part template, you create the required workset in this folder or copy it to this folder.

·         Generic pages and iViews that are used only for room part templates.
Pages and iViews that are used for both room templates and room part templates are stored in the Template and Part Content folder.

Portal Content ® com.sap.ip.collaboration ® RoomPartTemplateWorksets

Contains all worksets that are assigned to room part templates. The assignment between the workset and the template is unique.

When you create a room part template, the system automatically copies the assigned workset with the name of the template to this folder. The associated workset content is stored hierarchically below the copied workset.

Note

If you want to change the predefined room part structure in a template (layout of the workset or pages), you change the associated workset in this folder.

If you require rooms in more than one language, you must translate the workset for the template in question, that is, the user interface texts on the associated pages and iViews, n this folder.

There are the following functions for editing worksets for templates:

Creating worksets

Worksets for the assignment to room templates and room part templates are stored in the following folders in the PCD:

·         Worksets for room templates in the Worksets folder

·         Worksets for room part templates in the RoomPartContent folder

To create a new workset, choose New ® Workset in the context menu for a folder. Enter the following identification data for the new workset:
      - Workset name
      - Workset ID (for example, DemoTemplate)
      - Workset ID prefix (for example: com.<company_name>)

Caution

Only the worksets in these folders are available for assigning to templates. In these folders, you can add other suitable worksets from other folder using delta links (link, which takes into account changes to the original object).
Since the SAP namespace is protected, you cannot add any
worksets to these folder that start with the naming prefix SAP.

Using or creating pages and iViews

You can integrate any pages and iViews from the PCD in your workset using delta links. The pages and iViews are stored in the following folders:

      Pages and iViews for room templates

       Folder Template and Part Content ® Generic
Contains the pages and iViews that SAP delivers for rooms.

       Folder Template and Part Content ® Homer
Contains the pages that SAP delivers for the preconfigured entry area for the rooms (Home Area).

       Folder Template and Part Content ® TemplateSpecific
You can create new pages and iViews in this folder to retain an overview.

      Pages and iViews for room part templates

Folder RoomPartContent ® Generic
Contains the pages and iViews that SAP delivers.

Changing worksets

You can change worksets with the following effects:

      Changes to worksets that are available for assignment to templates.

These worksets are stored in the following folders in the PCD:

       Worksets for room templates in the Worksets folder

       Worksets for room part templates in the RoomPartContent folder

If you change a workset in one of these folders, the change affects only new templates that you create with the changed workset.

      Changes to worksets that are assigned to templates.

You can change assigned worksets in the following folders in the Portal Content Directory:

       Worksets for room templates in the TemplateWorksets folder

       Worksets for room part templates in the RoomPartTemplate Worksets folder

Since the assignment of a workset to a template is unique, you can change the template worksets.

Caution

To avoid data loss during upgrade, you should change worksets only in newly-created templates or in copies of SAP standard templates.

Note

Changing a workset can affect roles, stores, and parameter assignments.
To ensure the consistency of the corresponding template after changing the workset, you should create the template again. See Template Maintenance.
