Definition

A room role permits a room member to access particular pages in the room. It is valid in one room.

Use

In the room or room part template, you create the room roles required and specify for each page which room roles are able to access it. Therefore, you must have grouped the iViews according to their room roles on the pages in the workset for the template.

When creating or editing a room, you can assign the corresponding room roles to each room member. When adding a room part to a room, you can assign the room roles for the room part and to those for the room. This has the effect that the access permissions for the pages of the room part are added to the room roles.

Initial Role

In the room template, you can specify an initial role. In the room, the system assigns the initial role to each new room member automatically.

Administration Role

When you create a room template, you can specify exactly one of the room roles as the administration role. To do this, you choose one of the room roles in the Administration Role field. If you want to define an administration role in an existing room template, you must copy the room template in question and change the copy.
The administration role influences data security in the room by means of the following properties:

·        Mandatory assignment in the room

If a room role is specified as the administration role in the room template, when you create or maintain a room, the system checks whether the administration role is assigned to at least one room member.

·        Limited access to the room

Only a room member to whom the administration role is assigned can assign the administration role to other room members in the room member list.

Note

Room members without the administration role who have access to room maintenance functions can assign the administration neither to themselves nor to other room members.  

Structure

For rooms, SAP delivers the roles listed below as examples.

In the definition of every template, you can create new room roles and delete room roles that are not required (see template maintenance).

Permission

Administrator

In the room template, you can assign permission for maintenance functions in the room to this room role (for example, for maintaining the member list or the room attributes).

To limit the assignment of this room role to room members, you can specify it as the administration role (see above).

Member

In the room template, you can assign permissions for pages with specific collaboration functions and services to this room role.
You can configure the room role as the initial role (see above).

Public

This room role has a special function:
It gives every portal user permission to visit the public pages in a room. A page is the room is a public page, if it is assigned to this room role.

Note

In contrast to all other room roles, the room role for public pages is not displayed in the member list of the rooms.
