Use

In exception reporting you select and highlight objects that are in some way different or critical. Results that fall outside a set of predetermined threshold values (exceptions) are highlighted in color. This enables you to identify immediately any results that deviate from the expected results.

Exception reporting allows you to determine the objects that are critical for a query in you Web application.

Prerequisites

You have called up the exceptions function to change or define a condition.

·        In the Web item List of Exceptions.

·        In the Web item Ad-hoc Query Designer

·        In the Standard Web Template for Ad-hoc Analysis or in the BEx Web Analyzer

Procedure

Defining Exceptions

...

       1.      Specify a description for the exception in the Description field.

       2.      If you want to just define the exception, and do not want to execute it actively in the Web application, remove the check from the Active checkbox that is there by default.

       3.      In the Evaluation for field, choose the structural components, for which you want to create the exception.

       4.      Define the variant of the exception in the Value of the Exception area by creating one row for each alert level.

a.       Make a check in the checkbox.

b.       Select an operator from the dropdown box. You have the following operators:

·         Is between

·         Is smaller than

·         Is smaller than or equal to

·         Greater than

·         Greater than or equal to

·         Equal to

·         Not equal to

·         Not between

For the following operators use both input fields for entering a "from" and "to" value:

[ ] for entering values that lie within an interval

Not between: for entering values outside an interval

For the remaining settings, enter the value in the first input field:

c.       In the second dropdown box, enter the required priority of the exception as the alert level. The priority is displayed in the Web application with the appropriate background color for the table cell. You can use a total of nine colors from dark green for good 1 to yellow for critical to dark red for bad 3.

Note

The colors refer to the colors used in SAP's Cascading Style Sheets.

d.       With New row you can show further rows if you need more than the three standard input rows.

       5.      Make your settings in Validity Area of the Exception  to define the data cells of the report for which the exception should be evaluated. The system offers a row for each characteristic.

Note

All the characteristics of a query used in the rows, columns or free characteristics can be used as characteristics.

a.       Select an operator from the dropdown box.

b.       Enter a value in the input field.

Note

For the operator Equal: Single Value, enter a characteristic value and for the operator Hierarchy Level, enter a number.

You have the following operators:

Meaning

All

The validity area is not restricted. The exception is valid for every drilldown status of the characteristic.

Equal: Single value

The exception is valid for only one particular value of the characteristic (“spare parts” under “product group”, for example). Specify the characteristic value you want to use in external non-compounded display format or call the value help with  This graphic is explained in the accompanying text to choose a characteristic value.

Hierarchy level

The exception is valid only for a particular hierarchy level of the characteristic. Specify the hierarchy level you want to use as a number in the input field.

Example

In the hierarchy for the characteristic Location, Country is the second hierarchy level (continent – country – state – location). If you want the exception to be valid only for the hierarchy level Country, put the number 2 in the Value field. If you want the exception to be valid only for the hierarchy level State, put the number 3 in the Value field, since State is the third hierarchy level.

Results only

The exception is valid only for aggregated values of the characteristic.

Everything except results

The exception applies to all values of the characteristic apart from aggregated values.

Validity Area for All Characteristics Not Listed:

¡        For all characteristics for which you have not restricted the validity area, the preset value Only Results (Recommended for Relative Values) from the Validity Area for All Characteristics Not Listed goes into effect. This setting means that the exception is valid only for the aggregated values of this characteristic.

¡        You can also use the default restriction Everything  in the field Validity Area for All Characteristics Not Listed. This setting means that the exception is valid independent of the drilldown status of a characteristic, the validity area of which has not been restricted. This does not qualify as a restriction.

Recommendation

We recommend that you use the Everything setting only with relative values, such as percentage deviations.

       6.      Choose Transfer.

Changing Settings of an Exception

...

       1.      In the Web item List of Exceptions click on an exception and select entry Change in the context menu. You get to the Exceptions dialog box.

       2.      Change the settings of your exception.

Note

If you want to delete a setting, remove the check from the checkbox in one of the rows in the area Exception Values.  This row will no longer appear when the Define Exceptions dialog box is called again.

       3.      Choose Transfer. Your changes are copied.

Deleting Exceptions

...

       1.      In the Web item List of Exceptions click on an exception and select entry Delete in the context menu.

       2.      The exception is deleted.

Result

You have defined or changed an exception. The exception is evaluated in the Web application, that is, the cells in the table that are affected by the exception are displayed with the appropriate color shading. Furthermore, you can display exceptions in maps and charts. You can find additional information under Displaying Exceptions with Maps and Charts.
