Downloading Web Templates with the BEx Download Scheduler 

Use

The BEx Download Scheduler is an assistant that takes you through an automatic, step-by-step process for downloading pre-calculated Web templates as HTML pages from the BW server onto your PC.

Procedure

       1.      Call the BEx Download Scheduler using Start ® Programs ® Business Explorer ® BEx Download Scheduler. The BEx Download Scheduler start page appears.

       2.      Choose Next.

       3.      Select packages

Choose whether you want to download all packages or specific packages only.

If you choose All Packages, you also get packages that are assigned to you in the future.

If you choose specific packages, select the required packages from the list in the window. The BEx Download Scheduler shows you a list of the packages assigned to you.

If the message You are not assigned any packages appears in the step Select Packages, no scheduling packages are assigned to you in the Reporting Agent. In the Web template settings in the Reporting Agent, either the user or a role has to be specified. The user has to be assigned to the role. Check these settings and specify the user or the user’s role as the receiver. Save these settings as active.

       4.      Choose Next.

       5.      File formats and devices

Select the required file formats and devices. The following formats are available:

Desktop browser (for PC or laptop)

Pocket IE (for PDA devices)

MS Excel

Specify the folder in which you want to save the downloaded file.

If you choose Pocket IE as the format, the BEx Download Scheduler automatically proposes the Microsoft ActiveSync directory for synchronization with a PDA device.

If you choose MS Excel, the query or query view data that serves as the data provider of the Web items in the Web template, is exported to MS Excel as a table. If you have installed the BW Front end add-on on your PC, you can continue navigating through the data using the functions of the BEx Analyzer.

       6.      Choose Next.

       7.      Options

Chose whether you want to download the files immediately or whether you want to schedule the download.

Download immediately

                            a.      Choose Next.

                            b.      Choose Start to trigger the download.

                            c.      Once the files have been downloaded, choose Exit to close the BEx Download Scheduler.

Schedule download

...

                            a.      Enter your Windows user name and your Windows password, under which the task for the scheduled dates should be executed by the operating system.

                            b.      Specify the name of the task.

The settings for the task are saved under this name in the registry.

The standard name of the task is the designation of the system from SAP logon.

If you want to change the settings for the task later, this is only possible when you have used the standard name for the task. If you did not use the standard name for the task and still want to change the settings for the task, you need to make the settings again and save under the same name.

                            c.      Choose Schedule. The Window Task Scheduler appears.

                            d.      Make the required settings there and schedule the download for the required time of required event (for example, after logon).

The Windows tasks are stored in the Windows directory under Tasks.

Result

The downloaded HTML pages are now in the specified folder on your PC.
