Use

From the document display in the Web application, you can use the Create Document button to create new Structure linkDocuments for InfoProvider data.

Note

You can only enter text here. This function is primarily suitable for making comments and remarks about the data.

Prerequisites

Recommendation

We would recommend that you create each document from the context of an individual cell (see below). In this case, the restrictions are more specific than if you create documents from a cell or column, or for the entire navigation area.

You reach the dialog box for creating new documents as follows:

·         The Web application contains the Web item List of Documents. You restrict the validity range of the new document in the context of the Web item or by navigating in the Web application and selecting Create New Document.

·         You are in the BEx Web Analyzer or in the Standard Web Template for Ad-hoc Analysis and have called the Notes function form the Data Analysis tab page. In this way, you get to the document browser and can then create new documents or change existing documents.

·         You can create documents from the context menu of a cell in the following way:

¡        Choose Goto ® Create New Document. A new browser window appears.

¡        Choose Goto ® Documents for the Navigational State. The list of documents for this navigation status is displayed in a new browser window. Choose Create Document.

You can also use the context menu entry Goto ® Documents for the Navigation State to create documents for metadata and master data. See also Structure linkDocument Classes.

Procedure

       1.      Give the new document a title.

       2.      The system automatically suggests the text ID Generated by System as the technical name for the document under Name. You can change this text and thus define the technical name of the document yourself. Since the name is also the suffix of the URL, it has to be unique among all documents of its class (InfoProvider data, metadata, master data). If you do not change the text, the system suggests a unique key, the Global Unique Identifier (GUID), which is however no longer displayed in any further editing of the document.

Note

GUIDS that were assigned under SAP BW 3.0, however, will continue to be displayed. To go around this, you can choose the property Hide Name for these documents in document maintenance for the Administrator Workbench. See also Structure linkCreating New Documents.

       3.      You can specify the selection for which the document is valid.

Depending on context, the system proposes all document properties for which you can create the document. For example, if you create documents for InfoProvider data, the current InfoProvider, current query and the restricted characteristic values are displayed by default. To make your selection and thereby restrict the list, click on the red minus sign next to the corresponding document attribute. This attribute is removed from the list of proposals. When you have made your selection, only those document properties remain for which the document is to be valid.

       4.      Enter the text of the document in the Contents field. (You can also enter HTML.)

       5.      Choose Save.

       6.      Choose Close and Return.

Result

You have created a new document. The Web application is automatically refreshed and the title of the document is displayed as a hyperlink in the list of documents.
