Use

A department may receive a request for a short-term or medium-term appointment for an outpatient or inpatient treatment over the Internet or by phone. (You would preferably use the waiting list to manage requests for appointments far ahead in the future). The processing agent creates preregistrations for such requests.

The function for entering preregistrations is available to you in preregistration and waiting list management in the Clinical Work Station.

Patient Data

Enter the data pertaining to the patient in the Patient group box. You can enter data on patients with existing patient master data, and find the patient by choosing This graphic is explained in the accompanying text Patient – the system then retrieves the data that already exists for the patient in the system and displays it in the relevant fields in the Create Preregistration dialog box.

You can, however, also enter data for a patient for whom there is still no master record in the system. The system then saves this data as provisional patient master data.

Preregistration Data

You specify data on the preregistration in the Preregistration group box:

In the field directly to the right of Initiated By, you specify whether the order to create the surgery, treatment or examination comes from your own or from another organizational unit (Organizational Unit) in the hospital, or from an external business partner (External). In the next field to the right, specify the outpatient or inpatient organizational unit, the general practitioner or the external hospital.

You store the initiating organizational units (OUs) for each of the preregistration types in the IMG Set Up Preregistration Types.

Example

If you specify OU OUTPAT1, the Preregistration Type dropdown box only contains those preregistration types for which you have defined OUTPAT1 as an initiating OU.

In the Treatment OU or Dept. OU fields, store the OU(s) that make available the appointment for the treatment, in other words, for which you wish to preregister a patient for the surgery, treatment or examination.

Other Tab Pages

The number of other tab pages depends on the entries and presettings you made in the IMG activity Set Up Preregistration Types. The system only displays the tab pages, in the specified order, that you activated in this activity. These tab pages include:

This tab page is always active.

When you preregister the patient in a treatment OU (i.e. outpatient clinic), the system displays the Surgery/Treatment tab page. If, however, you do not enter an OU, you can preregister the patient for an admission only. This is not dependent on the initiating OU.

You can enter the case type, admission type, desired month and treatment category.

To the right of the field for entering an inpatient admission appointment, you can enter a care unit in the Care Unit field. This must be created as a planning object. It is not essential for you to have stored admission capacities. In other words, you can manually specify an appointment in the This graphic is explained in the accompanying text Admission field without using the day-based scheduling. The value help for the Care Unit field contains all of the OUs that belong to the department.

If you enter the preregistration for a patient for whom patient master data exists, the system proposes the referring physician and the family physician – when available – from the patient master data.

Here you can enter the insurance data for a patient with existing master data or for a patient with provisional patient master data. The system proposes this insurance data when you subsequently create the case-related insurance relationship.

Example

For example, if you specify AOK in the field to the right of the Health Insurer field on this tab page, the system proposes all insurance providers whose name includes the string "AOK" when you create the case-related insurance relationship. (The string then appears as *AOK* in the Insurance Provider List: Initial Screen dialog).

Default Values

You can specify default values for certain fields in the IMG activity Set Up Preregistration Types:

The default value for the case type that you specify here is proposed by the system when you enter the preregistration on the Admission or Surgery/Treatment tab page.

The default value for the waiting list that you specify here is proposed by the system in the Waiting List field when you enter the preregistration on the Waiting List tab page, provided that you have activated this tab page.

The default value for the preregistration status that you specify here is proposed by the system in the Status field in the Preregistration group box when you enter the preregistration.

Additional Tab Pages via Treatment Contexts

The preregistration function lets you enter patients for a surgery appointment, treatment appointment, or for an inpatient admission appointment. Besides these appointments, you can also schedule additional visit appointments for organizing the treatment process in the preregistration function. The system displays these additional visit appointments – grouped together in treatment contexts – in the preregistration. You maintain these treatment contexts in the IMG activity Set Up Treatment Contexts for Preregistration and assign the preregistration types with the desired order of selection in the IMG activity Set up Preregistration Types. Depending on the preregistration type you selected when entering the preregistration, the system makes available additional tab pages with the title of these treatment contexts in the preregistration dialog.
