Vorgehensweisen Configuration for WCB Reporting 

Use

The following configuration is required to perform accurate WCB Reporting.

Procedure

Perform the configuration indicated below.

Classification Groups for WCB (V_T5KWC)

In this view, you organize your WCB accounts across all provinces into classification groups. These groups reflect the industries that you are engaged in. A classification group is a collection of corresponding accounts from various provinces.

Beispiel

Company ABC Inc. is engaged in retail and the wholesale business across several provinces. In each province, the company holds two accounts – one for retail and one for wholesale. In this case, two classification groups (Retail and Wholesale) are required, as shown below.

Workers’ Compensation Accounts Table (V_T5KWA)

In this view, you assign each of your WCB accounts to a classification group and province. An account can only belong to one classification group and one province. Additionally, the classification code and the WCB rate are stored in this table.

Accounts can be further specified by classification codes – an account can contain several classification codes. WCB account, classification code and rate information is saved in the payroll cluster and later used for reporting, which is broken down to the classification code level. In contrast, remittance is carried out only at the account level.

Hinweis

The information in the WCB account is read in accordance with the employment standard jurisdiction of the employee specified in the Tax Assignment infotype (0461) and the assignment of the employee’s organizational unit, job, or position to a classification group (see next step). Only information that is valid on the pay date of the pay period will be used for the calculation of premiums. If no information is found during payroll processing, then the employee is rejected and an error message reminds you to configure V_T5KWA.

Beispiel

In classification group 0001 Retail, ABC Inc. holds a single WCB account in the provinces of Prince Edward Island, Manitoba, Nova Scotia, Ontario, and Quebec. Accounts also exist for the classification group 0002 Wholesale in Manitoba, Ontario and Nova Scotia.

Classification Groups Assignment for WCB (V_T5KWB)

In this view, organizational units, jobs, or positions are assigned to classification groups. We highly recommend that you create assignments at the organizational unit level, rather than at the job or position level. Assignments do not have to be linked directly to the employee’s organizational unit. They can also be stored in a parent unit anywhere within the organizational structure. Standard WCB processing in mySAP HR Payroll searches in the organizational structure until an entry is found for a parent organizational unit. Therefore, we urge you to maintain assignments at the highest possible level of your organizational structure.

Companies that hold only one account per province can maintain the assignment of classification groups at the uppermost level of their organizational structure; they do not need to maintain the assignment for each organizational unit.

Achtung

Data maintained in this view is time-dependent. Only assignment information valid on the partial period end date is used for processing. If the assignment changes during the payroll period, the system ignores the change.

Beispiel

ABC Inc. (organizational unit 42000001) consists of two subunits, Retail (org. unit 42000002) and Wholesale (org. unit 42000003). Assigning the classification group to these units assures that all subordinate units inherit the classification group of the parent organizational unit.

Assignment at the job or position level should only be used for exceptions when employees fall into a different classification than their organizational unit. Direct assignment of an employee to the WCB account can only be achieved through the employee’s position.

If the employee is assigned to several positions (with staffing percentages), then only the information stored in the Organizational Assignment infotype (0001) is used for processing. The system ignores any information on additional positions, i.e. it does not handle the staffing percentages.

Since classification group assignment can be provided on three levels – position, job, and organization unit – the hierarchy Position Job Organizational unit Error is applied.

First, the system checks for an assignment to the employee’s position; if no information is stored at this level, then the system checks the job level, and then the organizational unit level. As stated earlier, at the organizational unit level, the information can also be attached to any parent unit. However, if no assignment is found on any of the parent units, then payroll rejects the employee.

Payroll reads the employee’s Organizational Assignment infotype (0001) record and uses the organizational unit, job, and position to search for a classification group assignment.

Achtung

If employees experience an organizational reassignment during the pay period, only the information valid on the partial period end date (that is, the end date of the split periods) is used to calculate the premium. Calculation is not adjusted according to the time spent in different organizational units, jobs, or positions.

If you feel it is necessary to reflect these changes in the organizational reassignment, then delimit the Tax Assignment infotype (0461) on the day of the reassignment. This will assure that the changes impact the calculation of premiums.

Utilizing the organizational structure

To utilize the organizational structure as a means to minimize customizing, several prerequisites must be met:

·  Your organizational units must originate in Organizational Management within mySAP Human Resources. If this is not the case, then a search in the structure is not possible.

·  To find a parent organizational unit, all the object relationships in the Organizational Assignment infotype (0001) must have planning status Active and relationship Reports to.

·  The active plan variant must be maintained in table T77S0 (using key PLOGI/PLOGI).

Result

Upon completing the configuration described above, your system is ready to perform Calculation of WCB Premiums.
