Function documentation E-Mail Connection Locate the document in its SAP Library structure

Use

While a process is being executed, this function enables you to ensure that specific people are automatically informed that a process step has been executed or assigned a specific status.

Prerequisites

If you send e-mails via the Internet, the SAP Enterprise Portal Plug-In must be installed in your SAP system so that the person who receives the e-mail can access the HR Process Workbench from the e-mail attachment.

Features

You can use the e-mail connection for programs and breakpoints that you insert as a process step in a process model.

You can send notifications by e-mail (see Structure linkSend) or pager (see Structure linkSend Messages). Depending on the e-mail address that you specify, people receive their e-mails either in the Structure linkBusiness Workplace inbox in the SAP system, or in the inbox of an external e-mail system.

You can send messages in the following situations:

·        The system contains incorrect personnel numbers (see Status Display).

·        The system contains initial personnel numbers (see Status Display).

·        Processing terminated for a personnel number set.

·        The process step concluded.

·        The process was interrupted at a breakpoint.

·        The process was not interrupted at a breakpoint.

You use standard texts for your e-mails.

To create standard texts, access the SAP Easy Access screen and choose Tools ® Form Printout ® SAPscript ® Standard Text. For more information, call the Implementation Guide (IMG) for Payroll and choose Payroll <country> ® Background Processing With HR Process Workbench ® Create Process Model.

Every e-mail has an attachment. By double-clicking on this attachment, the person who receives the e-mail accesses the HR Process Workbench. The appropriate process is expanded up to the process step in which the message was sent.

Caution

If you send your e-mail via the Internet, the SAP Enterprise Portal Plug-In ensures that the HR Process Workbench call in the e-mail attachment is converted to a URL (Uniform Resource Locator). Using this URL, the person who receives the e-mail starts the HR Process Workbench in the browser. If the SAP Enterprise Portal Plug-In is not installed in your SAP system, the system deletes the attachment in e-mails that you send via the Internet.

When you insert a process step in a process model, you determine if and how you want to use the e-mail connection for this step.
