Customizing 
Before you can use questionnaires, you must make a number of settings in Customizing for SAP E-Recruiting.
You can create the texts for questions, responses, and questionnaires in different language versions. The system provides a separate tab page in the relevant maintenance views for each language version.You can store the texts on these tab pages.
You use the IMG activity Determine Languages Available to specify the languages that you want to use.
The categories determine the parameters for the questionnaires. For example, Business Add-Ins, which are required for evaluation purposes, are assigned to the Evaluable Information category.
Categories are created automatically using a report. The report makes the basic settings and generates the relevant table entries. You only need to run the report once. The texts for the categories are created in the system language and may need to be translated into other languages.
The report creates two categories of questionnaires and/or questions:
● Equal Employment Information
Questionnaires (and questions) in this category are used in connection with the Equal Employment Opportunities (EEO).
● Evaluable Information
Questionnaires (and questions) in this category cover general information.
You make the required settings in the IMG activity Set Up Categories.
You can use the values from predefined scales in E-Recruiting as responses to questions. You do so by assigning a given scale as a possible response when you create a question.
SAP delivers a number of predefined scales. If you require further scales, you can define them in Customizing.
Example
The possible responses to a question in a questionnaire are Yes or No.
● You create a scale with the values Yes and No.
● You assign the scale to the question. The system transfers the scale values as possible responses.
You make the required settings in the IMG activity Predefine Scales.
Questionnaires are dispatched through Activity Management, integrated in the application wizard or made available for manual editing.
You must first create the activity types to which the questionnaires refer. These activities belong to the Questionnaire activity category. If you want to be able to send questionnaires, you also need the activities that belong to the Invitation category. In the next step, you can assign the activities a letter template that can be offered as a default when a questionnaire is to be sent. You can create letter templates to meet your requirements using SAP Smart Forms.
You make the settings in the IMG activities Define Activity Types, Create Forms, and Assign Forms to Activity Types.
You must specify for activity types of the Questionnaire category whether the questionnaires are assigned to the Evaluable Information or Equal Employment Information categories. Furthermore, you must specify what activity types are to be used to integrate questionnaires in the application wizard.
You make the settings in the IMG activity Assign Categories to Activity Types.
Categories for questionnaires, questions, and responses must be updated whenever you define new scales and make the scales available on the user interface.
This update is performed automatically by a report that you execute in Customizing. The report makes the necessary changes to the categories and generates the relevant table entries.
You make the settings in the IMG activity Update Categories.
When you have set up categories for questionnaires in the test system or defined new scales and updated the categories, you can run a report to transport the categories and technical settings to your live system.
You make the settings in the IMG activity Transport Categories.
Note
Your test data, such as questionnaires, questions, and responses, is not transported.
After the transport, the texts for the categories must be translated into the required languages. They are only available in the system language of the test system.
Questionnaire groups comprise questionnaires or questions that belong to a subject area. Thus, the recruiter is provided with a better overview of the questionnaires or questions already in the system. The recruiter assigns questions or questionnaires when creating a corresponding questionnaire group.
You create questionnaire groups using the IMG activity Define Questionnaire Groups.
Equal employment opportunity questionnaires are evaluated using EEO Reporting functions.
To enable reporting, you must group EEO-relevant data into information areas and assign information structures to the information areas. The purpose of an information structure is to provide a data structure for an InfoSet. Two InfoSets, ERC_EEO and ERC_EEO_2003 that support two types of EEO questionnaires, are delivered with the standard system. These are questionnaires for EEO (single question format) and EEO (two-question format).
The name of the information area is displayed on the user interface in the user’s logon language when questions of the Equal Employment Information category are maintained.
You must also assign values to the information fields (DDIC fields from the information structures that use the domain RCF_MAP_FLD).
If the user selects an information area on the interface when creating or changing a question that belongs to the Equal Employment Information category, the information fields assigned are displayed and can also be assigned. The effect of this assignment is that the values maintained for the information field are taken over as possible responses to the question.
You make the settings in the IMG activities Set Up Information Areas and Assign Values to Information Fields.
Example
The information structure RCF_S_QUERY_EEO contains the information field GENDER. The following values are assigned to the information field:
001 - Male
002 - Female
