Budget Update: Distribution Using Budgeting Hierarchy  

Use

You use this function when the FM account assignments of your organization exist in a budgeting hierarchy and you want to distribute budget from a higher-level account assignment to lower-level account assignments for a budget update.

You can use the Distribute function for example to distribute original budget entered on an FM account assignment displayed in the budget plan to different lower-level accounts.

If you work without a budgeting hierarchy, note that special settings are required for distributing without a budgeting hierarchy.

Prerequisites

You have defined the following Customizing settings in the component Funds Management Government:

●     You have not set the No Budgeting Hierarchy indicator, under Basic Settings ® Define Global Parameters for your FM area.

●     The relevant budget version is defined in such a way in the section Budget Version that the budget update Distribute is permitted:

○     If you work with the year-dependent activation of budget versions, the indicators Update CB and Update PB are set in IMG activity Activate Budget Versions Process-Related.

○     If you work with year-independent budget version lock, the relevant budget version is not locked.

Features

The budget update Distribute is possible for the following budget types (and any budget subtypes created):

●     Original budget

●     Residual budget

●     Supplement

●     Transfer - receiver

Note that you can only distribute as much budget as there is within the budget type and any budget subtypes created for it for original budget, residual budget and supplement.

For Transfer Receiver there is no budget type-specific budget consistency check. You can distribute the entire distributable budget of the account assignment. You will be issued with a warning if you try to do this.

Budget values entered with a budget update as returns cannot be processed using the Distribute function.

Distribute with/without Automatic Release

If you work with releases, you can define whether the releases should also be posted automatically or not with the transfer or distribution.

Evaluation in the Information System

If you want to see how much budget exists in an account assignment which is available for distribution, choose the Information System button.

Selecting FM Account Assignments

If the program should list all FM account assignments, including those under the specified FM account assignment, choose the All Receivers button. If you want to define the selection of lower-level FM account assignments, choose the Select Receiver button.
