Background documentation Overview of FACTS II Programs Locate the document in its SAP Library structure

To run the FACTS II programs from the Easy Access menu, choose Public Sector Management  ® Functions for US Federal Government ® Information System ® FACTS II. The system then presents you with a menu showing the FACTS II programs available. These are as follows:

·        Trial Balance

This program shows the opening balance, total debit entries, total credit entries, and ending balances for your general ledger accounts over the year selected, along with FACTS II attributes.

·        Upload MAF File

Treasury provides the Master Accounts File (MAF) to agencies each quarter. The data in the MAF is used in several of the FACTS II edits. This program loads the data from the file into the SAP System.

·        Maintain MAF File

Use this program to maintain MAF data. When you upload the MAF file and run this program, the resulting display should contain much of the data needed. However, some manual maintenance may be needed to ensure that the FACTS II edits run correctly.

·        Data Extract

This program extracts data from special ledger 97 in table group FMUSFGFACTS2 and puts it in a work file for use by other FACTS II processes.

·        Maintain Footnotes

If required, use this program to attach footnotes to any record in the extract file.

·        Apply Edits

Run edits against the extract file to produce a list of error messages. The program applies the edits you select to the MAF file.

Edits and footnotes are described in FACTS II Edits.

·        Send Bulk File to Treasury

You can use this program to send the FACTS II bulk file data to Treasury. Download the file and attach it to an email.

Note

In each case, the program documentation contains detailed information on the data you need to enter before you can run the program.
