Purpose
Appointment calendars of the relevant employees are automatically updated after you save a sales activity in which you have maintained details of appointments made with the customer.
Prerequisites
To be able to update appointment calendars automatically, you need to activate the Maintain appnts field for the relevant sales activity types in the Customizing activity Define sales activity types.
If you always want the calendar for your employees to be updated automatically, you must also activate the Appointments field in the Customizing activity Define and assign partner determination procedures for the partner functions that represent your employees. Otherwise, you specify in the sales activity for which employees you require the appointment calendar to be updated automatically.
In addition, you must check whether the appointment type CONTACT is defined in the Basis Customizing activity Maintain appointment types in the appointment calendar. If it has not been defined, enter it on the overview screen of the Customizing activity. Then go to the detail screen for the new entry and enter SCHEDULE_EXIT_CONTACT in the Function module field.
You must also have created a user master record for the employee and assigned it to one of employee partner functions (partner type PE) in the sales activity.
Process Flow
You arrange an appointment with a customer and record the details in a sales activity.
The Avail. times field in the sales activity enables you to check when the employee(s) responsible has/have time to visit the customer.
When you save the sales activity, the system updates the appointment calendar of the appropriate employee automatically.
The system enters the following appointments in the relevant calendar(s):
The system adopts the sales activity type and the text you enter in the comment field as the description for the appointment.
