Procedure documentation Creating Standing Instructions for Correspondence Locate the document in its SAP Library structure

Use

External correspondence types (such as confirmations) are output for a financial transaction only if you have created Standing Instructions for Correspondence in business partner maintenance and have made the Customizing settings for the Structure linkTransaction Manager described in Structure linkCorrespondence. 

In addition to Customizing settings that are based on the type of transaction, you can also control correspondence output according to the business partner. You can then generate correspondence for business partner ‘A’ and not for business partner ‘B’, for example.

Procedure

       1.      On the SAP Easy Access screen choose Accounting ® Financial Supply Chain Management ® Treasury and Risk Management ® Business Partner ® Special Functions ® Standing Instructions ® Correspondence.

       2.      The system displays the business partner that was most recently processed. Enter the company code and the correspondence type for the business partner that you have selected and choose Continue.

       3.      The system displays the company code-dependent data of business partner maintenance. Enter your correspondence settings for contract type, product category, product type, and transaction type on the SI: Correspondence screen.

       4.      You can select various output media (print, fax, SWIFT, IDoc, E-Mail) for the correspondence for business partner transactions.  By setting the PCorr.med. indicator you can define the principal correspondence medium for correspondence status.

You can use the No status allocation option to stop the status allocation for an external correspondence type. You must ensure that you have defined only one status-relevant correspondence planned record for each transaction activity.

       5.      In the standard version the system takes the standard address for the business partner that you have defined in the business partner. You can define an address ID other than the standard address under Alt.Addr. (alternative address for correspondence).

       6.      By setting the Count.con. (counterconfirmation required?) indicator you can control whether counterconfirmation is necessary for the business partner.

Note

To ensure that the counterconfirmation required status is also set in business partner transactions you have to set the indicator in the IMG activity Define Correspondence Activities in the Transaction Manager.  

Input help:

You can either make the settings directly in the list, or use the following functions in the input help. If you make entries directly in the list and select a higher-level node, the setting will then apply to all the lower levels too. However, you can deselect the lower level again.

The following functions are available:

·        By choosing This graphic is explained in the accompanying text with the quick info text Select/Deselect Incoming Line you can make settings for correspondence for a selected area. You can use the selection criteria contract type, product category, product type, and transaction type to select for which area you want to make settings. In the next screen Details SI Correspondence you can then define the standing instructions for correspondence.

·        By choosing This graphic is explained in the accompanying text with the quick info text Import from Other Partner you can copy the Standing Instructions belonging to another business partner.
